DUTIES

NOTE : This position is subject to review by the Joint Job Evaluation Committee

Provides a wide range of administrative support, including secretarial services, for the Wellness Centre.

MAJOR DUTIES & RESPONSIBILITIES

  • Provides administrative support for students, staff and faculty by organizing and coordinating workflow, determining priorities and problem solving in order to meet the needs and requirements of the Wellness Centre;
  • resolves day-to-day issues, handles sensitive and confidential material.

  • Performs secretarial duties which include word processing a variety of documents such as correspondence, web pages, surveys, reports, resources, marketing materials and schedules.
  • Provides receptionist services and handles all wellness related inquiries.
  • Sets up and maintains all filing systems, records and office supplies inventory; maintains, troubleshoots and reports malfunctioning office equipment.
  • Tracks and maintains relevant expenditures.
  • Sets up, posts and maintains information and data systems for students, employers and faculty / staff through established hard copy and electronic systems.
  • Generates data and regular reporting on activities.

  • Updates social media, website, resources, and may proofread content.
  • Liaises with internal and external contacts regarding program requirements. May act as departmental contact for internal and external partners.
  • Informs and advises both incoming and ongoing students of any missing documentation. Manages and enters student data and maintains files.
  • Arranges meetings, locates and assembles background information, physical facilities and equipment, and
  • Assists in arranging events, social media posts, and promotions.
  • Provides instruction, orientation and training on an occasional basis to work study students, student leaders, auxiliary and other staff.

    EDUCATION :

  • Bachelor’s degree
  • EXPERIENCE :

  • One year experience with working with students’ in a post-secondary or similar environment.
  • One year experience and proven competence with word processing and electronic data entry into data bases
  • SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB

  • Demonstrated comfort with human diversity in the areas of culture, disability, mental health, gender and sexual orientation
  • Demonstrated knowledge of the student life cycle and experiences in a post-secondary environment
  • Ability to operate and maintain several management information systems, often concurrently, and to maintain and report on data
  • Ability to plan multiple tasks in a timely fashion
  • Ability to learn new systems quickly
  • Advanced computer knowledge with a high level of understanding of Microsoft Word, Excel, PowerPoint, online booking systems and databases
  • Ability to communicate effectively both verbally and in writing
  • Ability to deal courteously and tactfully with students, staff and members of the general public
  • Ability to manage student files, records and maintain student confidentiality
  • Ability to prioritize and coordinate workload.
  • Ability to learn a variety of new software to process, track and run reports
  • Ability to format marketing materials
  • WORKING CONDITIONS

  • Sitting at a desk and computer for periods of time
  • General office conditions
  • Ability to lift weights up to 10 kg

    The salary for the above position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879, as it presently exists.

    Salary rate

    Please Note : This position may be subject to a 90% salary for the first 560 hours of employment.
