Office Administrator to assist in managing day-to-day data entry and Client Accounts. Confidentiality, friendliness, excellent organizational skills, bilingual and accuracy are important qualifications for this position, as well as being comfortable in a residential office setting.

3 days per week Tuesday to Thursday- there is flexibility to the days; 9 to 4 : 30pm. DUTIES AND RESPONSIBILITIES :

  • Process weekly full payroll cycle base using QuickBooks system
  • Input and verification of hours for each employee on our weekly payroll cycle including Regular time, Overtime, Vacation days, CCQ benefits
  • Calculate, reconcile and administrate all transactions related to payroll (CCQ benefits, payroll salary reconciliation, etc.)
  • Prepare reports for monthly and year end closing (Journal entries for wages and CCQ Benefits
  • Prepare and file all statutory tax and other governmental reports on a monthly, quarterly or yearly basis (DAS, T4 / RL 1’s, CNESST, CCQ, etc.)
  • Prepare Records of Employment (ROEs) for employees
  • Responsible for the timely and accurate processing of Accounts Payable Transactions, payments, and remittances as GST / QST
  • Generate client Estimates & Invoicing using QuickBooks desktop
  • Provide support for finance operations, including bank and Credit Card reconciliations, and general ledger activities and sub ledger reconciliation
  • Complete various other accounting duties and assistance of the preparation of the year-end audit file
  • Organizing and maintain the file management system
  • Communicate with clients and government agencies regarding Attestations, Billing issues, Monthly reviews Qualifications and Skills :
  • Minimum 5 years of work experience in a payroll and accounting position
  • Experience in payroll administration in Quebec within the Construction industry
  • Solid understanding of accounting fundamentals and payroll best practices.
  • Proficient in QuickBooks and good knowledge of Excel
  • Must be bilingual (Spoken and written)
  • Able to work with minimal supervision.
  • Person highly responsible and Ethical, meticulous with excellent attention to details
  • Ability to maintain confidentiality and exercise adequate discretion over confidential information
  • Able to work well under pressure and meet set deadlines
