Knoll North America Corp. is looking for an energetic, organized, self-driven individual to fill our Administrative Assistant position.

There are several aspects to this role including acting as the site’s primary point of contact for all visitors and support for the Site VP Operations (and designated staff) with various administrative tasks.

This position requires a good attitude, ability to handle multiple tasks at once and solid decision making skills.

Ability to perform all duties and responsibilities of the position with a constant focus on Knoll Toronto’s goals.

  • Welcomes visitors by greeting them, in person or on the phone; answering and directing incoming calls, directing and assisting visitors.
  • Assist with preparation of reports and presentations.
  • Provides information by answering questions and requests.
  • Boardroom bookings, meeting arrangements and all corresponding coordination and duties.
  • Provide administrative support to HR and EH&S and other departments as directed
  • Maintain and monitor Knoll’s facility’s security access database.
  • Monitor and order stationery supplies.
  • Organize and support key visit activities of clients, head office staff, visitors.
  • Keeps safe and clean reception area by complying with procedures, rules, and regulations.
  • Organizes all social events for the sites.
  • Perform other related general administrative and reception duties or special projects / duties as assigned.
  • Required Skills

  • High School Diploma
  • Experience working in an office environment as a receptionist considered an asset.
  • Strong verbal and written communication skills.
  • Ability to work independently and take initiative.
  • Ability to multitask effectively and meet deadlines.
  • Strong problem solving skills and high attention to detail
  • Proficiency in Microsoft Office applications, including Word, Excel and PowerPoint.
  • Outgoing with a professional and friendly personality.
  • Experience with office supply management.
