We are currently looking for a Human Resources Specialist (12 Month Contract) at our Corporate Offices in Ajax, ON Reporting to the Manager, Total Rewards, the HR Specialist will support the Human Resources department in a number of functional areas Compensation & Benefits, HRIS, as well as special projects and other administrative tasks as required.

Additionally, the HR Specialist will provide project services for VGCA Together for Integrity (T4I) in the development, introduction, communication tracking, and support of all related T4I HR policies and programs for the Human Resources team.

Primary Responsibilities : HR Specialist (75%)

  • Data entry employee changes to HRIS (SAP) and associated reporting
  • Processing of monthly benefit premium invoices and monthly pension contributions
  • Processing of departmental invoices and annual PO set-up
  • Maintenance and reporting of employee pension and Group Savings accounts at Manulife
  • Drafting salary recommendations for internal employee movement / new hires using our Compensation Guidelines
  • Benefits administration including annual full time student confirmation, retiree classification changes / updates and regular audits to ensure data accuracy
  • Creation and maintenance of employee files, including creating new hire files, maintaining existing and terminated employee files.
  • Coordinate all off-site storage / archiving of HR files.

  • Assistance and support with completion of annual salary surveys and associated analysis / analytics
  • Maintenance and publishing on SharePoint & VGCA Intranet of Human Resources documents / programs
  • Other HR specialist duties and projects as required
  • Project Management of T4I HR policies and programs (25%)

  • Communicating and implementing an operational project plan for the implementation of all required policies and programs by the established and defined timelines.
  • Coordinating with relevant key stakeholders to ensure timeliness of deliverables
  • Tracking and Reporting of each deliverable in the tool and whenever required
  • Identifies any required budget, tools or specialized support necessary for cost-effective implementation of T4I policies and programs.
  • Manages the deliverables and keeps the HR team on track to meet the targets.
  • Ensures alignment of project with each stakeholder.
  • Responsible for power point presentations and other presentational material as needed.

  • Qualifications

    What we’re asking for :

  • Bachelor’s degree in Business Administration or Human Resources focus preferred A great attitude and proven ability to be an effective business partner, team player, and collaborator
  • 3-5 years of relevant HR and / or Recruitment experience
  • Working knowledge of relevant legislation as it relates to the recruitment process
  • A great attitude and proven ability to be an effective communicator, team player, and collaborator
  • Proven ability to work effectively in a high-volume environment and ensuring key deadlines are met with strong follow-through, attention to detail, and ability to maintain confidentiality
  • Strong analytical and problem solving skills with a practical and business-oriented approach
  • Excellent verbal and written communication and presentation skills; fluency in French an asset
  • Demonstrated interpersonal and people skills to interact effectively with employees at all levels of the organization and with all external contacts
  • Strong computer skills including database / information management applications (HRIS, etc.) and MS Office; Advanced Excel skills to automate reports a strong asset
