The Role :

  • Providing clerical support services including reports distribution, photocopying, and document handling, meeting arrangements, facilities and equipment maintenance, mail delivery, supplies, filing and faxing, sensor cards, staff orientations, office moves, catering, event organization, etc.
  • Weekly office and coffee supply ordering for two floors of staff
  • Providing administrative assistance to project teams i.e. meeting arrangement, meeting minute taking, lunch and learn coordination
  • Coordinating records and document management practices within the department in accordance with established standards and policies
  • Assisting in the coordination of activities i.e. Strategic planning events and monthly department meetings
  • Assisting in the coordination of quarterly interdepartmental Health and Safety meetings
  • Providing occasional absence coverage for administrative support staff
  • Coordinating or participating in occasional special projects or office events
  • Liaising with all Department management and staff, and with staff at all levels in business area departments as well as Senior Management members on scheduling and other administrative matters
  • The Ideal Candidate :

  • Proficiency with the Microsoft Office Suite, internet navigation, email systems, and general computer use
  • 3 - 5 years' of administrative support experience
  • Comfortable in learning new technologies and programs
  • Very disciplined in regard to information handling and working with minimal direct supervision
  • Excellent customer service, communication, interpersonal, and teamwork skills
  • Highly motivated and disciplined in workload management and organization
