Casual employment that is on call at AdHoc Basis

Receiving Guests

Greet guests and contact individual who has been requested and ask visitor(s) to have a seat. Write their name(s) in the visitor book, provide a Visitor Badge, noting arrival and departure time.

For Executive team (CEO and C-Suite) call the Executive Assistant to advise.

Field general drop-in inquiries, solicitations / sales people.

Phone Calls / Messages

Answer and screen incoming calls, transfer to intended recipients.

Relay messages when required, provide information to callers.

Daily Mail (incoming)

Ensuring mail is delivered daily

Daily Mail (outgoing)

Ensuring outgoing mail is picked up daily

Ensuing outgoing mail has sufficient postage


Ensuring all couriered mail is sent out at the appropriate timeframes

Food Order

  • Placing of food orders as required, online or by calling the restaurant / caterer of choice.
  • Notifying the appropriate person once food is delivered or bring to boardroom when necessary.
  • Stocking Board Rooms

    Ensuring all board rooms are stocked with drinks

    Administrative tasks

  • Call / arrange for a Taxi when requested. Provide a taxi chit if need be.
  • Provide assistance when requested and approved - typing, filing, sorting, envelopes, labels, mailings, etc.
  • REPRODUX used for photocopying drawings / maps or large volumes of documents. Order forms at reception or at 2nd floor copy stations (in one of the drawers).

    For special projects, ask for a quote before placing the order.

    Tidy up the lobby as needed.

    Weekly, take inventory of coffee, teas, sugars, creams, pop and juices.

    Placing orders to ensure replenishment of drinks

    Take inventory of office supplies, copy paper and water bottles for boardrooms and place orders accordingly

    Replenish plastic cutlery, paper plates, napkins, straws, paper towels, Kleenex, etc.

    Check stock for dishwasher detergent, dish detergent, J-cloths and hand soap and order accordingly.

    Education & Experience

    High level working knowledge of MS Office (Word, Excel, PowerPoint, Concur)

    Contact Management

    Minimum of 3-5 years of experience as a receptionist or admin assistant
