Job summary

The University of the Fraser Valley is embarking on a major investment in its technology landscape, with corresponding expansion, revitalization, and reinvention of its infrastructure, systems, service management protocols, and project delivery methodology.

Under the direction of the Chief Information Officer, UFV is redesigning the IT Department’s organizational structure and adding staff in both the frontline and management realms, aligning with the needs of the university.

Reporting to the Director, Business Transformation Office, the Change & Communications Specialist plays a critical role in maximizing the improvements and adoption of business and technology change as the result of project delivery.

This role will utilize a structured change management approach for stakeholder, communication and training strategies and plans to inform and engage the University's faculty, students and staff.

The Change Management Specialist will assess and advise on organizational change readiness, change impact and monitor the implementation of project change plans.

This role acts as advocate for change management at UFV, promoting the benefits of change practices and demonstrates value to leaders in the successful implementation of initiatives.

The Change Management Specialist will assist in the development of processes and artifacts for the BTO project change management practice at UFV. Summary of Assignment :

  • Provide change management and communication services for the Banner 9 ERP Upgrade Project. This project is planned to span 12 18 months in duration and cover both technical and business objectives
  • Advise on change management requirements and change dependencies with other BTO projects as required including planning change scope and deliverables
  • Assess organizational cultures, capabilities, and alignment to effectively tailor the change management approach to achieve the organizational goals
  • Conduct stakeholder engagement to educate clients on rationale for change and assist in identifying and mitigating impacts of the change
  • Develop change management strategies for project stakeholders through project initiation, delivery and transition to operations
  • Identify stakeholders and manage stakeholder expectations throughout the change process
  • Identify and develop strategies on how to help reduce the impact the changes will have on the organization, organizational culture and stakeholders
  • Work with operational and project managers, HR and union specialists to formulate plans and activities to support project implementation
  • Apply a structured change management approach and methodology for the adoption of new processes and technologies focusing on the interaction between people and technology
  • Develop and execute communication plans and support the execution of coaching, training and process adoption plans by employee-facing managers
  • Assist stakeholders in setting clear, realistic and achievable goals for the change process
  • Monitor and measure progress to ensure the changes occurring are meeting the identified goals
  • Prepare data collection for analytical reporting and feedback efforts in order to provide insights to the project steering committee or senior stakeholders
  • Facilitate meetings and workshops with stakeholders and summarize outputs; provide specialist advice, decision support and to executive, staff and external stakeholders
  • Prepare executive presentations and reports on stakeholder engagement and change program accomplishments
  • Qualifications

  • A minimum of 7-years of experience successfully leading change management, project communication and transition in a variety of enterprise project environments and preferably in the higher education sector
  • Bachelor degree equivalent to a degree in Project Management, Business Administration, Information Management or a related discipline
  • Professional designation or certification in Change Management (e.g. ACMP, Prosci, ITIL or related areas) preferred
  • Experience developing and executing appropriate change management and continuous improvements principles (Kotter, Lean Kaizen, ADKAR etc.)
  • Experience assessing and monitoring the impacts of change represented by projects and other initiatives, and ensuring the magnitude of change does not exceed the organization's capacity for change
  • Excellent communication (verbal and written) and interpersonal skills to advise and consult with senior leaders and employees at all levels
  • Demonstrated ability to plan and coordinate events & forums to advance stakeholder engagement with organizational initiatives
  • Experience working at a strategic level, liaising with executive to front-line stakeholders to identify potential change impacts and ensure change plans are in place
  • Experience designing and implementing communications strategies, plans and collateral related to change and transition phases
  • Support communications related duties as required
