A company of international renown, based in Villeray-Saint-Michel-Parc-Extension, would like to hire an administrative assistant for his litigation department.

Main responsibilities :

  • Preparing and typing letters and legal documents on the computer from handwritten texts and making their layout;
  • Review and proofread documents and correspondence to ensure they comply with established procedures and grammatical usage;
  • Set appointments and dates of meetings as well as conference calls;
  • Obtain required signatures on legal documents, follow up and reminders;
  • Establish and maintain the filing system (paper and electronic);
  • Archiving physical records as well as original contracts according to established procedures;
  • Update various files and information stores on Word and Excel;
  • Effectively manage incoming mail and send mail (including by mail, courier or international);
  • Make photocopies and / or digitization of various documents;
  • Complete building and / or furniture applications and IT requests as needed;
  • Communicate with our supplier for legal translations;
  • Replace and / or assist the administrative support staff of the service during absence and / or overtime in coordination with the Team Leader; and
  • Perform any other related tasks requested by the Team Leader.
  • Requirements :

  • College diploma in secretarial or clerical technique;
  • Five (5) to ten (10) years of relevant experience;
  • Experience in the business or legal community;
  • Excellent command of spoken and written French and English;
  • Good knowledge of Microsoft Office technology environments and software, including :
  • In-depth knowledge of Word software and its advanced features (for example, styles, numbering and automatic references, review function and tables)
  • Excellent knowledge of Outlook, Excel and PowerPoint software;
  • good judgment and a sense of detail;
  • Demonstrate exemplary professionalism, excellent team spirit and a distinguished presentation;
  • Be versatile and able to work on multiple projects simultaneously and meet deadlines;
  • Good ability to work under pressure and manage stress;
  • Dynamic, enthusiastic person who has a strong desire to learn; and
  • Demonstrate a strong sense of organization in the prioritization of files, autonomy, proactivity.
