This key role fills a critical need in a dynamic and evolving family office for an affluent Canadian family. The Vice President, Operations will be based out of Toronto Ontario and will oversee the complete residential operation and facility management of all North American assets.

The Vice President, Operations will also be responsible for oversight of the staffing and team building at every North American residence.


The overall responsibilities of the Vice President, Operations include but not limited to :

Financials :

  • Managing the annual budget, capital assets, purchases and construction; an expense in excess of $10m
  • Manage a staffing payroll and staffing cost / expenses in the sum of $580k
  • Preparation of AFE's (Authorization For Expenditure) relating to capital investments and construction projects
  • Work closely with the personal finance team based out of the family's corporate office to ensure financial controls are maintained
  • Review and approval of invoices
  • Operations :

  • General maintenance on systems such as water pumps, boilers, generators, HVAC, Heating and Cooling Systems, AV, IT, Security Systems, Smart Home and Electrical Systems, etc.
  • Fleet Management of 4 boats and 3 cars ranging from mechanical and preventative maintenance of all vehicles; Liaising with private pilots to ensure safe landing and departure of guests from the property via Float Plane
  • Inventory Management of all assets including but not limited to;
  • Household Items (Furnishings, Fixtures, Fine Linens, Crockery, etc...)
  • Clothing and Jewelry
  • Food and Alcohol
  • Responsible for the oversight of all events at any given property; including but not limited to delegation of household staff, scheduling, external vendors, etc.
  • Compliance and Maintenance :
  • Responsible for ensuring exceptional household standards are met
  • Appropriate record keeping must be maintained
  • Responsible for the overall maintenance of the portfolio of properties
  • Administration :
  • Management of travel (including vacations and private aircraft travel)
  • Liaison with contractors and special advisors
  • Monthly reporting and follow-up
  • Project administration
  • People Management :

  • Liaising, coordinating and overseeing communication with the gardening team, flight service (pilots, captains), chauffeurs, chefs, housekeeping staff, external vendors, house managers, and other key stakeholders
  • Hiring of household leadership staff and oversight on all household staffing needs and requirements
  • Training, mentor, conflict resolution with staff
  • Conduct annual review, payroll adjustments, health and safety procedures, etc.
  • Key alignment partner with Human Resources

  • Must have a minimum of 10+ years related experience
  • Minimum 5 years' experience in a management role with a proven ability to motivate staff and lead a team
  • Experience working with other prominent family private residences in multiple locations or experience managing luxury residential properties is an asset
  • Global experience an asset
  • Experience with horticulture and landscaping staff
  • Experience with facilities supervision and management
  • Working knowledge of Silver Service, butler service, housekeeping standards
  • Knowledge of Health and Safety procedures and standards
  • Mechanical or trades background is an asset
  • Experience with co-ordinating, supervising and providing written reports on high-end on-site construction
  • Extensive experience in driving, maintenance and upkeep of boats
  • Must have developed handyman skills and be polyvalent
  • Able to deal with high pressure and stressful situations with a professional, calm, flexible, and confident demeaner
  • Capable of prioritising and making practical decisions in a fast-paced environment;
  • Exceptional organizational skills with a focus on detail
  • Fluency in English both written and verbal
  • Good communication skills
  • Willingness to work outside regular hours of service
  • A positive can-do attitude
  • Must be eligible to work in Canada
  • Background check required
  • Must have a valid driver's license.
  • Ability to travel

    Salary : $150,000 to $250,000.00 / year
