The Ministry and Employment Unit of The United Church of Canada is seeking an individual to fill the role of Administrative Assistant, Candidacy Pathway and Data Management on a full-time permanent basis (35 hours / week).

The General Council Office supports the ministry and mission of the pastoral charges, congregations, mission units, and regional councils and is the national expression of The United Church of Canada, working ecumenically and in global partnership, faithfully, collaboratively, and effectively.

The Ministry and Employment Unit ensures that the employment, compensation, and pastoral relations policies established by the General Council are upheld and federal / provincial employment standards are met.

It also oversees both the pastoral charge and the General Council Office and regional council staff payroll services. The Office of Vocation, which is responsible for the assessment, candidacy and accreditation of ministry personnel, the standards of practice and ongoing oversight and, when necessary, discipline, of ministry personnel, is nested in the unit.

Also part of the unit is the governance and administration of the Pension Plan of The United Church of Canada.

The Administrative Assistant, Candidacy Pathway and Data Management provides administrative support to the in house and deployed staff within the Office of Vocation who are involved with candidacy boards and ministry students.

This position ensures accurate data entry and document tracking and storage. Prompt and accurate customer service is essential so that confidence and trust is built between the Office of Vocation, regional councils and communities of faith and ministry personnel.

The Administrative Assistant, Candidacy Pathway and Data Management will support building a member-centric team service model that can provide cross-functional services to The United Church of Canada.

Qualifications :

  • Post-secondary education together with a minimum 3 years’ experience in an administrative role
  • Strong computer skills in Microsoft Office applications (Word, Excel, PowerPoint, SharePoint, Dynamics 365 and Outlook), internet and social media applications
  • Solid data entry skills with attention to detail
  • Administrative, planning and time management skills, with the ability to juggle multiple tasks at the same time
  • Flexibility with the ability to effectively and positively deal with changing situations or priorities
  • Customer service ethos with excellent communication skills interpersonal, verbal and written
  • Ability to work independently as well as in a team environment with a commitment to team approach and collaboration with colleagues
  • Experience in a not-for-profit setting is desirable
  • An understanding of The United Church of Canada priorities, programs and structure and the ability to work in both official languages are assets
