The primary responsibilities of this 12-month employee position located in Saskatoon are to :

  • Responsible for circulation of Good Laboratory Practice (GLP) documentation to appropriate study personnel (internal and external) including study plans, amendments, quality assurance (QA) inspection reports and responses, and deviations;
  • tracking receipt and filing hard copies

  • Summarizes and tracks GLP study progress and documentation circulation
  • Drives and coordinates the annual review of GLP standard operating procedures (SOPs)
  • Coordinates with personnel to maintain an up to date master schedule, training records and GLP job descriptions for GLP personnel
  • Maintain and manage access for all original data and site / facility records in GLP Archives in accordance with Organization for Economic Co-operation and Development (OECD) GLP guidelines and associated SOPs
  • Upload scientific rationales, final study reports and associated data into DART (Document Archiving and Retrieval Tool) for submission preparation and electronic archival
  • Maintain up to date external partner Standards Council of Canada (SCC) recognition certificates
  • Support Test Facility Management and Test Site Management in hosting GLP inspectors (external QA and / or SCC inspectors)
  • Assist Study Directors with creation of field studies by entering study requirements and specifications into Study Management Module (SMM)
  • Order office, lab, competitor chemical, field supplies and promotional material, as required
  • Process all non-project operational expenditures using approved processes
  • Coordinate courier deliveries and hard copy mail
  • Coordination of tickets for events / venues
  • Provide back up to site reception and support other admin assistants, as required
  • Organize room rentals, catering, restaurant reservations, and equipment rental and attendee invitations for events / meetings, as requested.
  • Receive, compile and distribute meeting materials, as necessary

  • Assist with on-boarding of summer students including organization of summer student orientation, vehicle ordering and Natural Sciences and Engineering Research Council of Canada (NSERC) applications
  • Note : This is a 12 month contract role based in Saskatoon, SK.

  • Minimum 1 year certificate in office administration or related discipline and 3 years related administrative experience
  • Strong interpersonal and English communication skills required at peer, departmental and cross-departmental levels, as well as outside parties
  • Ability to independently respond to correspondence that may require some analysis of information and / or collecting data from other areas.
  • Knowledge of or ability to learn and operate within OECD GLP standards training with a focus on data coordination, data retention and archive
  • Strong organizational, time management and prioritization skills while working with minimal supervision
  • Strong skills with MS Outlook, Excel, Word and PowerPoint, Adobe Acrobat Pro, and MS SharePoint
  • Ability to be a strong team player
  • Willingness to take on new tasks and learn new things
