Miles HR has a fantastic opportunity for a dynamic Office Manager with bookkeeping experience. This role is with a leading national organization as they grow their team!

You will be joining this organization at an exciting time as they expand their reach to an international audience. The Office Manager will be the lynch pin in ensuring the success of this business as they take their mission and vision forward.

The Role :

Reporting into the Executive Director, the Office Manager will oversee all internal administrative operations and be responsible for payroll and bookkeeping duties.

This role requires an individual with exceptional organizational skills and a proactive approach. The successful candidate will be able to hit the ground running in this newly created role and have the ability to self-

serve. The capability to work autonomously on your own initiative is key to success in this opportunity as well as the flexibility to work irregular hours on occasion.

Job Responsibilities :

  • Bookkeeping Tasks :
  • Full-cycle Accounts Receivable and Payable
  • Monthly Bank & Visa Reconciliations
  • Monthly / Quarterly government reporting (GST, WCB & Source Deductions)
  • Assist / liaise with auditors for year-end audits
  • Bi-weekly / semi-monthly payroll
  • Office Administrator Tasks :

  • Answering phone and responding to email information requests from the general public
  • Maintaining organisational records (financial, legal and administrative) are kept up to date and filed and ensuring renewals of insurance is properly maintained
  • Administration of contracts †insurance, property, vendors, contractors and subcontractors
  • Technical Support †Connect with external IT firm to troubleshoot any and all related hardware and software challenges as they come up
  • Asset Management - ensuring assets are tagged, allocated and tracked
  • Assist in facilitating all status meetings, responsible for coordination, booking, monitoring attendance, distributing materials, and taking meeting minutes
  • Assist with drafting standard letters, invoices and reports or pulling reports from QuickBooks as needed for the ED, Board of Directors, Committees, clients, and stakeholders
  • Ordering office supplies, maintaining office machines, filing, photocopying / scanning, assisting with mail outs and general office duties as required
  • Support event planning, including preparation of documents, solicitation of speaker / presenter, and locating venues, securing quotes for A / V, simultaneous interpretation, and translation for internal and external events
  • Assist with on-boarding new staff or volunteers including access passes and computer set-up
  • Support office relocation and / or related requirements for new office set-up.
  • Report and coordinate office repairs and / or upgrades, emergency preparedness with the building management.
  • Key Qualifications & competencies :

  • Undergraduate Degree in a related discipline (Business / Public Admin, Accounting) and / or a combination of academic and direct work experience
  • Solid understanding of accounting principles and payroll experience
  • Ability to design maintain and develop paper and electronic systems which help others to be more organised and efficient and promoting their use
  • Quick Books and MS Office skills
  • Excellent verbal and written communication skills with confidence and ability to communicate with a wide range of people accuracy and attention to detail
  • Effective time management skills and ability to multi-task and prioritize competing demands, even when under pressure, in a methodical and systematic manner juggling the more interesting with more routine tasks
  • Strong interpersonal skills and proven ability to handle diverse sources of information in a confidential, sensitive manner with due care, respect and discretion.
