The Operations Team manages the administration of business practices to create the highest level of efficiency possible within the organization.

The group is concerned with delivering the products and services as efficiently as possible to maximize profit. The Operations team oversees people, equipment, technology, information and all other required resources in the delivery products and services.

It is also responsible for driving operational excellence and supporting key business objectives while fostering a culture of respect, trust and integrity.

Position Responsibilities

Team Contribution (10%)

  • Work as a team in order to support group efforts to achieve targets both company-wide and inter-departmentally.
  • Provide coverage for staff absences, and take onus of any outstanding issues as they arise, in relation to this coverage.
  • Develop detailed and concise recommendations for Management, as it relates to workout solutions & legal continuance proposals, through a thorough assessment of the client, property and account history.
  • Operational Excellence (25%)

  • Complete financial assessments in order to enter into firm and feasible arrangements with clients.
  • Ensure legal action is proceeding as required based on adherence to payment arrangement(s) and / or outcome of financial assessment.
  • Produce detailed notes, ensuring all pertinent information is provided to ascertain a full scope of account / client activity.
  • Practice continual use of the follow up system to ensure adequate turn-around time to clients, solicitors & authorized 3rd parties.
  • Incorporate regulatory and compliance requirements into existing business processes and activities to ensure guidelines are met within all aspects of the position.
  • Service Excellence (20%)

  • Allow for minimal escalations due to errors and / or non-compliance with department / company processes.
  • Ensure documentation, account information and statements are produced accurately, and in a timely manner.
  • Provide accurate information, through written or verbal communication, to clients and third parties to ensure there is no jeopardy to Home Trust Company’s legal action.
  • Complete thorough reviews of account histories and activities to safeguard against errors resulting in out of pocket expenses.
  • Personal Contribution (15%)

  • Understand, follow and implement the Company’s high standards of ethical business practices and conduct throughout day-to-day activities.
  • Have a firm focus on the most critical goals to achieve business success, control risks and comply with legislative and regulatory requirements.
  • Meet targets for individual objectives as set out by Management, by performing tasks and duties confidently, efficiently and with a positive outlook.
  • Business Unit and / or Team Specific (15%)

  • Participate in daily proactive management of a portfolio, resulting in a percentage of accounts under 90+ days in arrears, measured monthly, quarterly and yearly, as an average, in order to achieve expectations, as measured through regular portfolio audits and account discussions with Management.
  • Through consistent review, follow up and action, meet a target of percentage of files cured on a monthly, quarterly and yearly basis, as an average, in order to achieve expectations on an individual, team and company wide basis, as set out by Management
  • Risk & Compliance (15%)

  • Acts in accordance with HTCs core values, Code of Conduct & all internal policies & standards
  • Engages in the highest standard of business conduct and ethics
  • Understands the regulatory & compliance requirements applicable to scope of responsibility
  • Incorporates regulatory & compliance requirements into existing business processes & activities
  • Identifies opportunities to mitigate potential risk and to strengthen compliance activities, for HTC & its stakeholders, in daily operational activities
  • Formal Education

  • Post secondary degree or diploma required (University degree preferred) in Finance, Business or equivalent
  • Certification(s) / Designation(s) preferred
  • Related Experience

  • 2 years in mortgage administration
  • 3 years in mortgage collections or related legal administration
  • General understanding of mortgage origination and servicing an asset
  • Skills

  • Exceptional organizational, time management, research / analysis, auditing, reconciliation and attention to detail
