We have an exciting opportunity for an Administrative Assistant to join our Residential Marketing team. This position will provide administrative support to the Residential Marketing team, including general correspondence, travel arrangements, managing schedules and the distribution of residential sales inquiry.

This position requires a productive self-starter who is co-operative, organized, able to juggle competing priorities and deadlines, and above all, must have a positive and professional attitude.

This role will be a Hybrid working model, which will require 2-3 days per week in the Four Seasons Corporate Office located at 1165 Leslie Street, Toronto, Ontario #LI-Hybrid.

Key Activities :

  • Proactively manage calendars including travel dates, meetings and conference calls
  • Coordinate and setup meetings, logistics and / or materials as required
  • Arrange all travel requirements, including airline reservations, hotel accommodation, rental cars, etc.
  • Process / allocate invoices and track expenses, complete monthly AMEX expense reports in Concur.
  • Answer phones, re-direct calls when necessary and handle routine matters without supervision
  • Assist with recruiting and new hire orientation
  • Maintain and update Residential Development, Marketing & Sales org charts
  • Organize department events, as required
  • Other residential-related projects and administrative support, as required
  • Monitor Residential Sales inbox, and direct follow up accordingly.
  • Track Residential Sales Waitlists, for prospects interested in new developments.
  • Manage creation of Residential Brand Hub logins in AEM for developers and partners.
  • Support creation of new Image Library logins for developers and partners.
  • Organization of project related documents and file management in MS Teams.
  • Coordinate invoice submissions and track annual marketing budget and spend
  • Key Requirements and Qualifications :

  • 2-3 years in a similar supporting administrative role
  • Post secondary degree or diploma an asset
  • Proficient with MS Office Suite
  • Excellent communication skills, verbally articulate with strong written composition for business and personal communications
  • Good planning and organizational skills
  • Very detail oriented
