JOB DESCRIPTION :
Responsible to the Corporate Records Manager for providing administrative assistance and support to the department.
Prepare confirmations of equity and investments held; Dealers and other.
Responsible for updating and maintenance of Excel spreadsheet detailing requirements to be completed by various locations, and distribution of information on a bi-
weekly and monthly basis as required.
Assist with issuing and balancing of certificate and notes.
Prepare correspondence, tracking of documents, payout options for various Dealer changes.
Process Dealer payments for equity redemption.
Prepare letters and process payments for Special Share Cap redemption.
Maintain files and complete the required follow-up which may include correspondence, memos, faxes, labels, cheques, invoices and additional tasks and projects as required.
Assist with preparing material for Board of Directors, Committees and bi-annual Shareholders meetings.
Answering of telephone, returning calls and follow-up including communication and correspondence with Dealers and their professional advisors.
Assist with department filing and other projects as may be assigned.
Other duties include assistance with insurance certificates, required updates and renewals. Communications with Dealers and / or Insurance Brokers.
Extra hours are required.
Secondary school diploma or equivalent.
One or more years of office experience.
Previous legal experience an asset.
Must be able to multi-task, prioritize and complete priorities effectively.
Good keyboarding skills.
Utmost accuracy, confidentiality and mathematical skills.
Advanced working knowledge of MS Word, Excel, Outlook and PowerPoint.
