The Opportunity : Administrative Assistant (13 month contract)
Reporting to the Admin Services Team Lead, the Administrative Assistant is responsible for supporting the day-to-day business activities of a team of senior practice staff* in a fast-
paced, multitasking environment.
Critical attributes of this position include : a positive, proactive can do attitude and excellent customer service, interpersonal and communication skills.
Attention to detail, the ability to handle multiple priorities and flexibility to adapt to changing demands and deadlines are essential.
Responsibilities : Primary Responsibilities
Monitor Google calendar. This includes responsibility for arranging internal and external meetings, responding to changing priorities, coordination of meeting logistics and preparation of supporting materials.
Assist with travel arrangements make bookings in advance, prepare itinerary, coordinate last minute changes (flights, cars, hotels, team communications), maintain travel profiles, assist with directions;
handle passport and visa issues.
Process submission of expenses; provide recurring review of expense submissions.
Reserve conference rooms; arrange for catering; set up conference calls.
Process invoices via ePayables as directed by client service staff.
Scanning, printing and photocopying for assigned team.
Filing final documents into LoS repositories (eg Consulting MAP files, Tax DMS, Deals BRS and ASR Aura), if requested.
Printing / formatting of Excel or Google documents, managing workflow to and from Office Services.

Strong client service focus in dealing with both external and internal clients, displaying an image ofprofessionalism, discretion, integrity and tact.
The ability to work well both independently and in a team environment, by creating a positive working atmosphere, and supporting each other to combine individual strengths to enhance team performance.
Effective listening skills; excellent oral and written communication skills (including strong spelling, editing, proofreading, punctuation and grammar skills).
Excellent judgement and strong problem solving skills.
Exceptional organizational skills and the ability to prioritize multiple responsibilities.
Adaptable and able to work within tight deadlines, demonstrating flexibility.
Confidence in ability to work in a highly technical and ever changing work environment.
Extensive technical knowledge and proficiency in Google Mail / Calendar, Google Hangouts, Lotus Notes, Webex, iPhone, iPad and social media tools, i.e., LinkedIn etc.
Must be able to demonstrate proficiency in Google Suite and MS Office Suite.
Function as a backup for other team members and contribute to other teaming activities as directed.
This role is best suited to an individual who has a minimum of 3 or more years of relevant experience, or relevant transferable skills, supporting a fast-paced team.
Previous experience working in a partnership or professional services firm is an asset.
High school diploma required.
Post-secondary education is an asset.
Bilingualism is an asset / requirement.
