Temporary Full Time 8 Months 37.5 Hours / Week

Summary of Duties

  • Providing administrative and secretarial support to a Trauma / General Surgeon
  • Performs general clericalduties to include but not limited to : photocopying, faxing, mail distribution and filing
  • Scheduling and coordinating outpatient clinics
  • Assembling and preparing outpatient clinic charts for each clinic
  • Coordinating and scheduling outpatient procedures (internal and external endoscopy procedures, operating room procedures, medical investigations)
  • Answer telephone inquires (referral process, wait times, location, office hours)
  • Prepare and transcribe dictations for patient office visits, reference letters and medicolegal cases
  • Input, submit and reconcile OHIP / WSIB billings to the Ministry of Health weekly / bi-weekly basis
  • Prepare invoices for services rendered (uninsured patients, medicolegal cases)
  • Input and manage waiting lists for incoming referrals, and operating room waitlists
  • Assist with some Program Director responsibilities (booking meetings with residents and assembling resident files and fellow staff members)
  • Formatting and updating Surgeon CV as necessary.
  • Liaising with various hospital departments such as admitting, labs, purchasing, etc. to exchange information and to resolve issues
  • Order and replenish office supplies as needed
  • Qualifications

  • Completion of Grade XII or recognized equivalent
  • Knowledge of Operating Room policies and procedures
  • Completion of recognized medical office administration program at the diploma level or equivalent
  • One (1) year related medical administrative support experience
  • Previous on-the-job computer / word-processing, database and spreadsheet software experience, in a Microsoft Office Environment preferred
  • OHIP / WSIB billing experience
  • Very good command of medical terminology
  • Very good interpersonal and customer service skills
  • Good organization and time management skills
  • Good verbal and written communication skills
  • Ability to work well under pressure
  • Ability to use good judgment in assessing difficult situations
  • Ability to work independently and as a team player
  • Experience working in a health care environment preferred
  • Experience working in a teaching hospital environment preferred
  • Knowledge of general office practices, procedures and standards
