Operations Assistant

Location : Fort McMurray, AB

Diversified Transportation is currently seeking an Operations Assistant based in their Fort McMurray Operations. Reporting to the Team Lead, the Operations Assistant provides day to day administrative support to the Operations Management Team and unionized Operators.

This is a full-time permanent position.

Duties and Responsibilities :

  • Perform post-shift reconciliation ensuring schedules are accurate for payroll and billing purposes.
  • Record information related to passenger counts, camp status, flight and camp forecasts, and other related reports.
  • Prepare, organize and implement Coach and Site Services Bids throughout the year.
  • Provide Internal and External Clients with operational reporting, i.e. passenger counts, route timings and so on.
  • Assist Coach and Site Services drivers with vacation scheduling, vacation pay banking, and payroll concerns.
  • Book all flights and camps for camp based employees
  • Allocate new teams for operators and schedule cycle breaks when required
  • Complete payroll concerns
  • Maintain accurate and up to date records of unionized employees’ vacations, leaves, absences, bid work, and bus lists.
  • Liaise with other departments, as well as operators, for accurate information related to training, scheduling, and time entry.
  • Assist Operations with any ad-hoc projects that may arise for Internal and External reporting or analysis.
  • Communicate the importance of and participating in improving, the Company’s KPI’s.
  • Qualifications and Experience :

  • Completion of a college program in Office or Business Administration and / or a minimum of 1 year of related work experience
  • Minimum of 1 year of customer service related work experience
  • Experience working with unionized employees and experience with interpreting and applying provisions of a labour agreement
  • Strong proficiency in Microsoft Office, specifically Access and Excel at an Intermediate level
  • Team player with strong verbal and written communication skills
  • High attention to detail and confidentiality and must be fully aware of the sensitivity of the position and act upon it accordingly
  • Ability to multi-task in a multi-office / location organization and problem-solve while maintaining flexibility
  • Ability to maintain composure and excellent customer service in a fast paced and deadline based environment
