Role Description

Our current Winnipeg team of lawyers, law clerks and administrative staff is 40+ strong. We provide advanced legal support to Great-

West Life, London Life and Canada Life across Canada. As a Legal Administrative Coordinator within our Winnipeg Litigation / Winnipeg Corporate Law department, you will work as part of a team of lawyers, law clerks and legal administrative assistants, and be responsible for providing clerical support with the department.

The successful candidate will have the ability to complete administrative tasks accurately and efficiently to support the department’s provision of quality legal services.

Accountabilities :

Third Party Legal Document Handling Duties

  • Triaging third party legal documents into tracking system, reviewing and redirecting these documents received by the companies to the appropriate client departments, identifying urgent and critical documents to ensure priority handling
  • General to advanced internal investigation of the various company systems and contacts to determine the area / individual responsible for handling of the document
  • Drafting and forwarding correspondence or making telephone inquiries to various outside agencies with respect to these legal documents to gather information, request additional documentation and / or provide a final response on behalf of the companies
  • Workstation Technical Support

  • Facilities & Property Management Requests
  • Hardware, Software, Telephony, and SAR requests
  • MFD point of contact for training, troubleshooting and maintenance
  • General Clerical Duties

    Provide general clerical support including but not limited to

  • Monitor department general email mailboxes and voicemail, investigating or handling inquiries; escalating as required
  • Mail opening and triage, scanning / printing / photocopying as required
  • Supporting new matter process in receiving and / or creating electronic files, creating Law Department working copies in support of our move to paperless
  • Data entry and document filing into the Law Department’s matter management (eCounsel) and document management (M-Files) systems
  • Management of department supplies
  • Library filing
  • Gathering and organizing file materials for company records (OmniRim)
  • Qualifications and Competencies :

  • Strong technical skills
  • Well developed verbal and written communication skills
  • Ability to deal with sensitive and confidential information as part of daily duties
  • Good organizational skills and the ability to handle deadlines and fluctuating work volumes
  • Strong attention to detail
  • Knowledge of any of the following systems would be considered an asset : Mainframe (GWL, LL, CL), GPAS, DCT, Co-Pilot, Siebel, CISS, GRS Solium, Quadrus system
  • Demonstrated analytical skills (ability to think outside the box)
  • Knowledge of bankruptcy and / or garnishments would be an asset
  • Team player with a positive attitude and an interest in collaborating with others
  • Self-motivated with a proven sense of urgency and ability to work independently
