Support Services Assistant

Job Introduction :

Reporting to the Support Services Manager, the Support Services Assistant ensures that current and prospective employees receive the appropriate level of security clearance and that screening officers are supplied with the appropriate uniforms.

The position provides administrative and project support to the Support Services team.

Role Responsibility :

MAJOR RESPONSIBILITIES, but not limited to :

  • Obtains, inputs, maintains and extracts data and documentation related to Transport Canada clearance applications, AVOP applications, uniform distribution and inventory, parking administration, and other support services functions.
  • Applies established procedures and guidelines for delivery of support services
  • Checks supporting documentation for accuracy and completeness of applications, uniform orders, reimbursement claims, and other related documents
  • Responsible for all uniform related matters such as fitting, ordering, distribution, control and inventory
  • Tracks, expedites, follows up on uniform orders and shipments as required; communicates with stakeholders for any shipment issues
  • Acts as primary contact for managers and screening officers regarding uniform order status
  • Acts as signing authority for Support Services
  • Conducts uniform audits internal and external - when required
  • Collects and sorts CATSA protected documents submitted by Operations; assists in the transportation of boxed documents to storage area;
  • ensures boxes are properly labeled and secured.

  • Organizes and retrieves archived documents for destruction when needed;
  • Develops timely reporting tools (query and data analysis) for key performance metrics
  • Provides statistical reports as required
  • Provides administrative support to the Support Services team;
  • Provides relief and back-up to Reception
  • Performs other duties as needed.

    The Ideal Candidate :

    EDUCATION, EXPERIENCE AND SKILLS

  • One year post-secondary education in business administration
  • Minimum two years’ experience in an administrative position
  • Purchasing experience an asset
  • Intermediate to Advanced Excel skills required; proficiency in Word and G-suite.
  • Strong communication skills with ability to relay messages accurately and effectively whether verbally or in writing
  • Highly organized self-starter with a demonstrated ability to multi-task priorities and assignments
  • Ability to develop and foster positive relationships with employees, vendors and stakeholders
  • Ability to work well independently and as a part of a team
  • Ability to follow and enforce strict processes and procedures with a high level of accuracy and attention to detail
  • Ability to exercise discretion and maintain confidentiality in a federally regulated environment
  • Ability to work in a fast-paced environment dealing with conflicting priorities
  • Must be able to obtain and maintain Transportation Security clearance
