POSITION SUMMARY

To provide secretarial and administrative support for the Pharmacy and Laboratory Services Departments.

PRIMARY RESPONSIBILITIES

  • Working with minimal supervision, will provide secretarial support for Pharmacy and Laboratory services on a day-to-day basis;
  • this includes telephone / reception, and opening / sorting / distributing incoming mail, photocopying, faxing, filing and maintaining files for department, managers, and staff as required.

  • Anticipates administrative support required by the managers of Pharmacy and Laboratory Services
  • Takes minutes at meetings and produces them within 48 hours.
  • Maintains all license renewals for Lab and Pharmacy Services Staff
  • Other duties as assigned.
  • QUALIFICATIONS

  • Graduate of a recognized Medical Office Administration program at College level, including a course on medical terminology.
  • Previous experience as an administrative secretary required preferably in an inpatient setting.
  • Strong organizational and administrative skills.
  • Working knowledge of Medical Terminology.
  • Advanced Word Processing for Microsoft Office, with ability and interest to learn other software packages.
  • Advanced calendar management using Microsoft Outlook.
  • Excellent attitude towards adapting to change and working in an interdisciplinary team.
  • Self-motivated to work with minimal supervision.
  • Ability to learn new tasks quickly and accurately.
  • Excellent interpersonal skills.
  • Ongoing Professional Development and strong assessment skills.
  • Demonstrates excellent written and verbal English skills.
  • Proven attendance record.
  • Demonstrates understanding and complies with patient and staff safety policies and procedures that foster a safe and inclusive environment for all.
  • Ability to perform the essential duties of the job.
  • Effectively uses empathy in interactions with others.
