TheAdministrative Assistant is responsible for providing support tothe Commercial Director, the Marketing Director and as well as theCommercial Team / Mississauga Head Office as required (exception ofSalesdepartment).


  • Responsiblefor booking meetings and managing calendars for the CommercialDirector and MarketingDirector.
  • Coordinate / plan meetings (both onsite and off site) for Commercial team as needed, which may includevideo conferencing, AV requirements, travel, meals, andevents.
  • Main contact for outsideassociations / boards, scheduling meetings, conferencecalls.
  • Prepare and submit monthly expensereports for Directors through ConcurExpense.
  • Purchase Order creation in SRM andcode / route invoices in ReadSoft.
  • Monthly,organize Senior and Marketing Leadership Meetings (assigns roles,gets meeting topics, creates agenda andtiming).
  • Schedule and set-up quarterly Globaland Canadian Town Hall Meetings inboardroom.
  • Support the marketing and categoryteam on ad hoc basis and project execution (asneeded)
  • Responsible for updating organizationalcharts, posting charts to the global site and uploadingannouncements on Yammer.
  • Vacation tracking forfull Canadian Team.
  • Main Canadian contact forBCD Travel. Attends biweekly conference calls with BCD and EdgewellGlobal Travel Manager for ongoing issues and assists employees withany travel issues.
  • Organize and track companysponsorships and donation requests.
  • Assist withnew employee onboarding by providing company information andpreparing welcome gift baskets.
  • Generaladministrative presentations, special projects, photocopying,filing as needed.
  • Provide back-up support forOffice Administrator and Sales AdminAssistants.

  • Collegedegree or equivalent experience with 3-4 years of experience in anadministrative role.
  • Superior organizationaland change management skills.
  • Results orientedwith strong initiative and problem solvingabilities.
  • Excellent interpersonal skills atall levels both within and outside theorganization.
  • Collaborative individual whothrives in a team-based environment.
  • Able touse good judgment and handle issues with tact, diplomacy andconfidentiality.
  • Good at working underpressure, working with a diverse group, and able to prioritizeaccordingly.
  • Proficiency with various softwareprograms (Excel, PowerPoint, Word ) and use of audiovisualtools.

  • Keyrelationships internally will include all Canadian colleagues,Category & Marketing, Senior Leadership Team, Management Team,U.S. counterparts.
  • External engagementwill include trade associations, agencies, governmentagencies.
