Executive Assistant is responsible for a wide range of clerical and administrative duties for the entire dealership. Duties of this position include, but are not limited to, answering the telephone and emails, greeting and supporting customers with all needs, filing, invoicing, assisting accounting department with requests, and scheduling service and maintenance appointments

After the initial 90 days of training success will be independently coordinating all the administration functions of the dealership while exhibiting a positive, friendly attitude to internal and external customers.
Responsibilities :
Promptly answer telephone in a warm and inviting manner
Operate a multi-line telephone system, transferring calls to appropriate executive, sales representative or department
Respond to emails in a timely manner
Coordinate and process customer payments, customer accounts, petty cash and cheque requisitions
Distributes mail and coordinates all courier pickups
Coordinate and processes all necessary documentation and payments for the service department
Organize, maintain, and coordinate Company records and files in their proper locations
Where necessary, assist in the compilation of data for various reports
Perform various clerical and administrative duties
Communicate with inquirers and visitors in a professional, friendly and effective manner
Acquire basic knowledge about the dealership, in order to be able to respond to inquiries for general information
Provide information to customers on various dealership promotions
Answer basic customer inquiries or direct customer to appropriate personnel
Prepare and reconcile gas vouchers
Stock in cars
Print Carfax and Safety to complete car files
Maintain the reception area in a tidy and presentable manner
Other duties as assigned
Requirements :
High School Diploma, or equivalent.
A passion for customer service and Automobiles.
High degree of resourcefulness, flexibility, and adaptability.
Ability to apply understanding to carry out instructions in written, verbal, or diagram form
Strong knowledge of Microsoft Office products, including Excel and Word
Able to maintain filing systems and basic database
Excellent analytical and problem solving skill
Superior telephone manners and strong interpersonal skills
Able to effectively communicate both verbally and in writing.
Able to build and maintain lasting relationships internally and externally
