We are currently seeking an EA to support the Managing Partner in advising clients and general Firm administration.
POSITION SUMMARY :
The Executive Assistant primarily provides administrative support for the Managing Partner as described below. He / she performs all duties in accordance with established policies and procedures, including signing and abiding by our strict confidentiality procedures.
This position requires access to a reliable vehicle, exceptional professionalism, and availability during and outside of office hours.
WHAT WE NEED YOU TO DO :
Maintain strict confidentiality at all times and sign an oath of confidentiality
Deliver friendly, professional service and assistance to Managing Partner and others, as required
Assist Managing Partner and others with scheduling, calendar maintenance, emails, administrative support, etc.
Prepare for and attend meetings, as requested, including the creation of agendas, taking of minutes and preparation of necessary follow-up items
Coordinate catering, travel, meeting spaces, as well as special projects and events, as necessary
Travel to satellite offices, with possibility of out-oftown travel
Communications and coordination of staff regarding meetings, events, etc.
Electronic organization and filing of documents, emails, presentations, etc. in cloud-based practice management database
Pre-review materials and prepare Managing Partner and others for meetings and engagements
Provide administrative duties including relaying telephone and email messages, processing incoming / outgoing mail and courier packages, etc.
Physical and digital document organization, including creation of binders, presentations, etc.
Analyze, make recommendations and implement improvements to work methods or systems
Other duties as assigned
WHAT WE ARE LOOKING FOR IN AN EA :
Preference will be given to applicants of First Nation ancestry or experience working with First Nation communities
Undergraduate degree in business administration and a minimum of five years of experience in an Executive Assistant position, or equivalent combination of education and experience working in a law firm
Strong organizational and project management skills with impeccable multi-tasking abilities
Proven problem-solver with a track record of innovative thinking and organized implementation of changes
Strong team player and communicator who can build relationships across the firm and with clients
Proficiency with programs such as Microsoft Office Suite, databases, as well as productivity applications (e.g., Evernote, Zapier, Trello)
Excellent judgement, accountability, professionalism, and attention to detail
Solid grasp of office and administrative procedures and related equipment
Knowledge of business and accounting practices, expense reporting, invoicing, and budgeting
Superior verbal and written communication skills
Ability to work independently, as well as within a team
Confidence and positive attitude regarding existing and new responsibilities
