Reporting to the Operations Manager, this position provides administrative support to the Kingston team on projects dealing with the creation of customer specific Draeger products within the Engineered Solutions (ES) team.

Main Accountabilities :

  • Support the materials management including data entries into the SAP system, creating purchase orders in accordance with requisitions, and co-ordinating interactions with logistic partners.
  • Support the project engineering and service team, including coordinating travel planning (hotel, rental car, flights), customer service activities (administrative aspects), administering commercial project binders, crating manual invoices ES projects / orders, checking pay schedule and status for ES projects / orders with project engineering and accounting functions in DSCL and DSI, and handling service and parts orders with internal interfaces
  • Support bids, including creating, updating and using sales and marketing information, and creating bid documents (e.g.
  • copying, binding, labelling).

  • Support accounting by ensuring that time sheets are submitted to accounting / controlling within the required time frames
  • Provide other General Functions to a multi-disciplinary team which has responsibility for the manufacture and installation of complete projects, working with customers and vendors, mainly receiving and coordinating telephone communication, ensuring office material is available in sufficient amounts, ensuring that the office area is maintained, clean and sorted, implement process improvements related to administrative support and adhere to appropriate safety requirements in all aspects of work.
  • Adheres to appropriate safety requirements in all aspects of work. Performs other duties as needed and assigned.
  • Education :

  • Requires a high school diploma, or similar education and experience, preferably a general business and accounting education.
  • Related Experience :

  • Two (2) or more years of’ experience in the area of administrative support, preferably involving business and accounting tasks in an industrial environment.
  • Must possess exceptional organization skills.
  • Excellent verbal and written communications capabilities required.
  • Thorough understanding and demonstrated working knowledge of the laws and regulations related to the scope of work.
  • Ability to deal professionally and courteously with internal and external contacts.
  • Proven experience working with confidential and sensitive information, ability to work on multiple priorities in a fast paced environment, strong attention to detail is required on a daily basis.
  • Ability to support Sales and Marketing activities
  • Ability to maintain office organization, e.g. filing, meeting organization
  • Ability to support travel organization
  • Ability to support customer service activities (administrative aspects)
  • Skills in organizing workload and time to work on simultaneous projects
  • Has good communication skills and the ability to work in teams with both technical professionals and hourly employees.
  • Consistently shows the ability to recognize and deal with priorities.
  • Regularly meets deadlines for time-sensitive activities.
  • Always provides adequate notification in advance of absence.
  • Completes all obligations, doing what has been promised.
  • Authorities for this position are those specified directly or formally delegated in the ISO Procedures and Work Instructions.
  • Working Conditions :

  • Sitting in normal seated position, finger dexterity to use a keyboard, talking and hearing, near vision
  • The position is based at Draeger Safety Canada Ltd., Kingston ON, and might in rare cases involve travel..
