Reporting to the Payroll Manager, the Payroll Supervisor is responsible for the delivery of payroll services by providing extensive payroll expertise, excellent customer service, and liaising with third party suppliers;
as well as managing the staff Payroll Coordinator, Payroll Analyst & Payroll Accountant. This position will also oversee the processing of all staff payrolls as well as Mongolia and the US.
The position ensures the payroll month end is processed within the accounting system and is processed timely and accurately.
The Payroll Supervisor will take a leadership role with the Company’s budget process as it relates to wages, salaries and benefits.
Responsibilities include, but are not limited to :
1. Develops, mentors, motivates, focuses and retains a competent team capable of achieving the department’s objectives.
Identifies and develops appropriate training programs in conjunction with the Manager, Payroll.
2. Supervision of Staff Payroll Coordinator, Payroll Analyst & Payroll Accountant.
Builds team culture in which performance matters by coaching, setting expectations and communicating rewards / consequences.
3. Communicates with employees and department contacts.
Significant contact (internal and external) for problem solving and conflict / complaint resolution.
4. Internal Controls and Auditing.
Ensure effectiveness of ongoing internal controls by designing adequate testing procedures with guidance, performing testing, reviewing testing, and working with process owners to remediate any weakness.
5. Month-End and Year-End responsibilities.
Confirm throughout the month and at least two days prior to month end all transactions are completed and signed off by the team.
Verification and / or calculation and reconciliation of annual incentive calculations.
Sign off monthly payroll general ledger reconciliations and ensure department completes them timely.
Validates year-end tax forms and monthly remittances are completed timely and accurately, this includes but is not limited to T4’s, T2200’s, ONEHT, MBEHT, NLHAPSET, WCB and NWT Payroll Tax.
6. Salary Planning and Budget Process
Coordinate with finance department and HR to ensure budget process timing and ensure deadlines are met
7. Provides a safe work environment.
The successful candidate will be an experienced Payroll practitioner and have the CPA designation in Payroll with a minimum 7 years progressive accounting experience in a complex role.
The successful candidate will also have a minimum of 3 years' supervisory experience. Other qualifications include :
Experience with full cycle payroll within an HRIS system.
Strong analytical skills required to reconcile complex payroll concerns.
Knowledge of integrated financial information systems.
Advanced knowledge of Microsoft Office Suite i.e. excel, word, power point, etc.
Ability to work in a demanding environment with strict deadlines and tight schedules.
Must possess good oral and written communication skills as well as excellent interpersonal skills.
Ability to effectively supervise, both entry level and designated professional staff.
