Overview of the opportunity :

As GTA Hoteling Concierge & National System Administrator, the successful candidate will be responsible to :

GTA Hoteling Concierge :

  • Manage the CA-FM GTA Hoteling mailbox
  • Book workspaces for visitors and assign them with guest extensions,
  • Book workspaces for passive hotelers
  • Grant special access for employees given approval for exceptions to the business rules
  • Assist with group moves by ensuring all passive reservations in the hoteling system are revised and updated
  • Reinstate auto-cancelled reservations and if the space is no longer available, find / book an alternate workspace
  • Ensure reservations for terminated employees are removed from the system once their space has been cleared
  • Resolve conflicts regarding workspaces and enforce KPMG's hoteling policies and procedures
  • Handle violations to the KPMG's hoteling policies and procedures
  • Answer questions and resolve issues regarding Virtual EMS from end users via email and phone
  • National System Administrator :

  • Add and configure new offices and meeting rooms in EMS Client for all Canadian offices, including configuration of rooms, floor plans, hot spotting, assigning business rules, building templates
  • Make configuration changes if / when requested
  • Answer any EMS questions and resolve any issues from concierges in all Canadian locations
  • Give appropriate access to new concierges and administrators in all Canadian Offices once approved
  • Train concierges on EMS Client and Virtual EMS
  • Be part of project team for any EMS hoteling / meeting room implementations
  • Responsible for EMS system maintenance notifications
  • Participate in system upgrades
  • Develop relationship with the vendor’s support team
  • What you bring to the role :

    A successful candidate will possess the following skills and behaviours :

  • Must have good communication skills include including effective email etiquette
  • Provide excellent customer service and interact professionally with a broad range of staff from Administrative Assistants to Partners
  • Build and maintain strong relationships and be able to work both individually and as a team member
  • Possess basic understanding of Microsoft Office
  • Strong technical skills with ability to troubleshoot system issues impacting functionality / use
  • Must show initiative, be a self-starter, able to work on own, be extremely reliable and punctual and be willing to work overtime as needed
  • High school diploma
  • Ability to translate functional requirements into business / system rules
