We are seeking an energetic and enthusiastic person for the role of Administrative Assistant;Travel & Accounting based in our office.
As a member of the Finance team, you will help to deliver efficient management of our costs and expenses as well as assist with organizing travel for the Ausenco staff in the North American region.
Accuracy and the ability to manage multiple tasks in one day are hallmarks of our team.
Prepare bank deposits and perform daily bank runs.
Monitor email inboxes and file hard & soft copy documents for a multitude of legal entities.
Print supplier cheques, do follow-ups for signatures, and prepare for mailing or take
to the bank for payment.
Call suppliers for missing invoices and banking details for electronic payments.
Open and distribute mail to accounting staff and act as a liaison with the Office
Services team for office supplies and periodic data archiving.
Assist the AR team with preparing backup for client invoices, completing vendor forms, printing & mailing / couriering client invoices as required, and coordinating signatures for client invoice documentation.
Administrative duties for the Finance team as required (i.e. organize team functions, run errands, keep the Finance team space organized and tidy, etc.).
Assist the Regional Travel Specialist with coordinating Ausenco personnel travel arrangements for both international and domestic travel including air, car, and hotel bookings
Provide travellers with country specific details including travel itinerary, travel advisories, project related arrangements and travel agent after hour contact details.
Administer the domestic and expatriate travel medical policies offering travelers information to ensure they are aware of policies and procedures.
Coordinate Ausenco personnel travel arrangements by ensuring that all international and domestic travel arrangements including medical and visa requirements are processed in a timely, efficient manner and that all information and documentation is accurate.
Minimum of 1+ years’ experience working in a professional office environment.
Travel booking experience (air, hotel, vehicles, short / long term accommodations).
Attention to detail and very strong organizational skills.
Competencies with MS Office (Word, Excel, Outlook), ERP system such as Oracle, SAP Concur travel software.
The ability to grasp new concepts and learn quickly.
Work accurately and efficiently with attention to detail.
The ability to interact effectively in a team environment or work independently as required.
Excellent verbal and written communication skills.
Good knowledge of world geography.
Good time management skills and ability to prioritize tasks to meet conflicting deadlines of tasks.
