Position Overview Reporting to the Manager of Nuclear Proposals and Estimating, the Proposal & Estimating Coordinator will assist in RFP / RFQ process by supporting Proposal Managers and Estimators during the estimate preparation and proposal submission period. Key Responsibilities

  • Log, Track and Status new RFPs throughout the estimating process
  • Review customer RFP documents and developing a detailed understanding of the bid requirements.
  • Registration of new proposals
  • Organize and schedule proposal related meetings, prepare meeting agendas and take meeting minutes
  • Maintain and develop proposal schedules, calendars and responsibility matrices
  • Tracking and ensuring proposal deliverables, from internal and / or external stakeholders, are provided in a timely manner
  • Assist Proposal Managers and Estimators by obtaining or locating any required inputs or information
  • Prepare and submit Requests for Information (RFIs) and Clarifications to the Customer. Ensure any Addendums are communicated to the proposal team.
  • Act as the key customer contact, in the absence of the Proposal Manager.
  • Prepare proposal write-ups for various construction related topics (methodologies, risk management issues, staff management, work plans, etc.)
  • Participate in reviews of the proposal content to ensure it is relevant and compliant with the client’s specific requirements.
  • Facilitate the department administrator in the preparation, compiling and formatting of proposal submission documents.
  • This may also include development of templates, project sheets, resumes, organizational charts, company experience, cover letters, executive summaries and presentations.

  • Perform continuous compliance checks on all RFP submission documents
  • Gather information from previous bids, or through customer feedback, and incorporate into proposal submissions
  • Assist with the formal submission process
  • Upon award of project, compile the Turnover package for the Project Team
  • Collect and formulate key data relating to estimating performance
  • Track and report Key Performance Indicators (KPIs), and other team objectives
  • Summarize results & lessons learned; report back to Management
  • May be required to prepare reports for senior management
  • Perform other duties and responsibilities as required
  • Some travel within Ontario may be required
  • Required Knowledge & Skills

  • Relevant post-secondary education in an engineering discipline or 3-5 years related work experience
  • Estimating experience in the construction industry strongly preferred
  • Strong computer skills MS Word, MS Excel, MS PowerPoint, MS Project, Visio, SharePoint, Acrobat Writer
  • Strong communicator verbal and written
  • Self motivated with effective multi-tasking skills
  • Work well in a team environment
  • Ability to work accurately under pressure
  • Valid driver’s license
