We are looking for a dynamic, organized and proactive individual to provide confidential senior level administrative support duties for our team of 125 (approximately 55+ Lawyers, Corporate Security, Insurance and Claim and Administrative Staff).
The successful candidate will have strong communication skills, thrive in a fast paced environment and has a keen ability to anticipate needs.
The primary functions of the role are designed to support the efficient operation of the Office of the City Solicitor, including the following :
Prepare and handle confidential reports on behalf of the Office of the City Solicitor
Handle of the City Solicitor’s emails in a timely, efficient and professional manner
Oversee the effective and timely review of all council and committee reports and correspondence either produced by the department or sent to the City Solicitor's office for review
Manage the City Solicitor’s business schedule using Google Calendar, including scheduling various management meetings and events, including arranging for catering and set up as required
Liaise with Deputy City Managers’ Executive Assistants and other Administrative Staff to ensure timely responses to high profile and confidential items
Manage office records as the Department Records Advisor and FOIP contact, ensuring adherence to corporate records management standards
Prepare draft, proof and edit various support materials (i.e. agendas, reports, memorandums, letters and other correspondence)
High school diploma A Legal, Business, or Administrative certificate from an accredited business school / college
A minimum of four (4) years of progressive administrative experience including experience in a legal environment and in coordinating large groups of people;
eight (8) to ten (10) years preferred
Experience with Taleo, SAP, POSSE, LMS and IVOS systems is an asset
Considerable knowledge of the City organizational structure and departmental services and broad knowledge of civic issues
Advanced Google platform skills Legal acumen strong ability to grasp, influence, comprehend in order to respond effectively in a legal environment
Professional, courteous, respectful and ability to maintain confidentiality
Strong attention to detail and a penchant for continuous process review including seeing opportunities for innovation and following through
Excellent communication, presentation, interpersonal, organization, time management, problem solving and prioritization skills
