Brookfield Properties is a fully-integrated, global real estate services company, providing industry-leading development and portfolio management capabilities across the real estate investment strategies of Brookfield Asset Management.
Reporting to the Vice President, Legal, this position would provide coordination and administrative support to the Legal Department.
Prepares initial drafts of retail and office leases and lease amending agreements, as well as ancillary documents such as parking and storage agreements.
Also drafts routine correspondence. Sophisticated word processing required
Assists the Legal Department with the organization and implementation of special projects undertaken by the department, such as setting up the framework for preparation of estoppel certificates and lease related due diligence projects
Photocopies and distributes leases and other legal documents for Landlord, co-owner and tenant execution, as well as distribution of executed copies to tenants and property management
Assists with preparation of Lease Summaries
Enters new deals in the View The Space (VTS) system, reviews offers to lease for time sensitive dates and allocates to the appropriate person within the Legal Department, opens files or retrieves existing file as the case may be, creates database sheet and enters onto transaction allocation report and status report
Scans all lease and ancillary documentation and sends to file clerk with a description and instructions for uploading to DMS
Miscellaneous functions include administering the Serengeti system (which includes creating new matters with outside law firms, handling all calls and queries from outside law firms and investigating outstanding invoices) and tracking legal consent fees and letters of credit
QUALIFICATIONS SERVICE / PERSONAL SKILLS :
The ideal candidate would have prior experience in a legal department or law firm with excellent interpersonal and communications skills (oral and written).
This individual is able to work independently with minimal supervision and is self-motivated with a positive attitude. This person is a team player who is able to work in a fast paced, deadline driven environment and cope with changing priorities.
The successful candidate will be able to prioritize tasks, work under pressure and deal with complex ownership and reporting structures.
Maintains a mature, tactful and professional image.
EXPERIENCE & TECHINCAL SKILLS :
Minimum 5 years in a legal administrative capacity with experience in generating lease documentation
Intermediate to advanced level skills in MS Word, Excel and Outlook
Experience with or willingness to learn applicable aspects of VTS, Serengeti and Yardi
Working knowledge of Propidex
EDUCATION / DESIGNATIONS / LICENSES :
High school diploma
Legal administration exposure would be an asset
