The Facilities Services department at Kwantlen Polytechnic University (KPU) is seeking a Full-time Posted Auxiliary Logistical Support Specialist for a 1 year period.

The position will provide a variety of administrative and logistical duties in support of the Facilities Department’s wide scope of services that impact the KPU community.

The primary areas of focus include event logistics coordination, dispatch, work force planning and scheduling and departmental support.

Under the general direction of the Facilities Business Coordinator this position will assist in supporting KPU events, ensure that campuses are adequately staffed and liaise with internal and external groups in order to support our KPU community.

This position will be required to ensure applicable policies and procedures are adhered to, and that exemplary levels of customer service are provided to students, employees, the University community and other internal and external stakeholders.

With strong interpersonal and collaboration skills the Logistical Support Specialist will consult with administration, faculty, staff and students as well as external clients.

We invite individuals who possess the following qualifications to apply for this position :

  • Minimum 3 years’ experience in an office environment in support of a service area demonstrating excellent interpersonal skills while exhibiting a high degree of timely customer service.
  • Proven ability to quickly learn, understand, and implement complex systems and procedures such as records management; room booking contracts and event coordination and planning;
  • Demonstrated ability to apply analysis and interpretation of the BCGEU Collective Agreement as it relates to offering work, scheduling shifts and related compensation and premiums payable in a complex unionized environment.
  • ie. a number of employees with multiple shifts over multiple campuses).

  • Demonstrated understanding of rental contracts and certificates of insurance as it relates to rental and space lease agreements.
  • Proven ability to communicate with diverse groups of people in order to execute the necessary logistics to support complex event requirements.
  • Minimum of 45 wpm keyboarding skills with a high degree of accuracy and demonstrated intermediate level of competency with Microsoft Office including Word and Excel.
  • Proven ability to recognize, analyze, and resolve problems that often include elements of risk while working with a minimum of supervision.
  • Demonstrated ability to sustain a high level of productivity while setting priorities and meeting deadlines in a fast paced environment frequented by interruptions.
  • Proven ability to communicate effectively in English both verbally and in writing and interact patiently and effectively with a wide and diverse community including administrators, students, faculty, employees, member of the public, and contractors
  • Proven ability to independently draft formal and non-formal correspondence, minutes of meetings, notices, and other business communications based on knowledge of established styles and practices.
  • Demonstrated aptitude for exacting and precise work including grammar, punctuation, numeracy and spelling.
  • Demonstrated ability to learn and understand complex computer systems
  • Ability to maintain and respect confidentiality.
  • Ability to gather, research, and report specific information from the web, other organizations and other sources
  • Knowledge of post-secondary education with particular reference to Facilities services and an understanding of university organizational structure and governance including the departments and key positions within them would be an asset.
  • The salary range for this position is between $44,189 and $49,340. In addition, KPU offers a competitive benefits package.
