Administrative assistant / project coordinator

Permanent position

Our client, a prestigious consulting firm architecture de Montréal, looking for an administrative assistant / full-time project coordinator (35h)

Role

Under the responsibility of the project managers, and in collaboration with the whole office, you will be responsible for monitoring and ensuring real responsibility work, both administrative and coordination of projects in progress :

Missions

  • Assist site supervisors in their administrative tasks;
  • Inputs and monitoring of data relating to projects (payment certificate, monitoring of receipts, etc.);
  • Follow up with the various stakeholders regarding missing documents;
  • Prepare correspondences and reports, ensure their formatting;
  • Open project files in the system me;
  • Review contractual documents, check their spelling and ensure their distribution;
  • Write meeting minutes and site visit notes as directed by the site supervisor;
  • Provide the necessary support to team members when required;
  • Greet visitors, answer and route phone calls, emails etc;
  • File, associate and archive documents;
  • Place stationery orders and supplies;
  • Qualifications

  • Hold a diploma in administration and / or office automation or equivalent experience accompanied by a minimum of 5 years d relevant experience (Administration, Architecture project coordination) in Canada;
  • Master the French language both orally and in writing, and good level of English (intermediate)
  • Master and be up to date on the MS Office suite (Word, Excel Outlook and Acrobat);
  • Love and understand the field of Architecture and construction (organization of a firm architecture, e njeux, functioning, trades, culture, realities of the market, etc);
  • To have had an experience in the field of architecture / design / construction (requirement);
  • Natural taste for teamwork;
  • Having a developed and demonstrated sense of organization;
  • Being versatile, resourceful, meticulous and rigorous : ability to achieve different tasks (flexibility)
  • Good stress management, time constraints and prioritization;
