Job Description

Our Office in Ottawa is looking for a Receptionist to join our growing team. To perform this role successfully, the Receptionist will be responsible for general reception duties including but not limited to the following :

  • Receive, direct and deliver telephone and messages as well as receiving and distributing internal and external mail; prepare, distribute and sign for ingoing and outgoing courier packages, open and date stamp all general correspondence
  • Greet all visitors who come in for meetings and issue Visitor passes if required. Contact the employee the visitor is here to meet with
  • Management of the project contact list, including; adding / deleting / editing of the information as received and emailing it to the project staff on a weekly basis
  • Management of the project email distribution lists, including; adding / deleting / editing of the email contact information and sending them out to the administrative team on a weekly basis
  • Ordering of the office stationery / coffee supplies through the appropriate vendor using the online systems or via email.
  • Preparation / Reconciliation of the corresponding monthly / weekly invoices for the office products ordered
  • Placing service calls and ordering toner as required for all copiers / printers
  • Management of reservation schedule of the laptop and projector equipment
  • Ensure requests for action or information are relayed to the appropriate person
  • Respond to internal and external telephone queries and written requests
  • Manage calendars including scheduling appointments
  • Other duties as required
  • Qualifications :

  • Proficiency in Microsoft Office
  • A willingness to learn new skills and serve as support in a number of capacities
  • A dedicated team player with strong interpersonal and communication skills
  • A self-starter with the ability to work both in a team and independently
  • Analytical problem solving skills
  • The ability to deal with competing priorities and manage time appropriately
  • Prior administrative experience is an asset
  • General accounting knowledge
