Goals & Outcomes :

The Admin Assistant - Service Dept. will schedule the activities of the service technicians to maximize productivity, while assuring prompt and effective service to customers.

Essential Functions :

  • Prioritize incoming service calls and coordinate the dispatch of technicians.
  • Stay in touch with service technicians to schedule inspections, service work and follow up work.
  • Follows up and schedules preventative maintenance service appointments.
  • Responsible for maintaining a high level of professionalism with clients and working to establish a positive rapport with every caller.
  • Identify customers’ needs, clarify information, research every issue and provide solutions and / or alternatives to achieve satisfaction.
  • Conduct follow up calls with customers to track and ensure projects are completed satisfactorily.
  • Reviews service work orders for accuracy and follow-up.
  • Handle customer complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution.
  • Follow communication procedures, guidelines and policies.
  • Assist with administrative projects as needed.
  • Requirements

  • Experience working in an office setting.
  • Problem-solving and conflict resolution skills.
  • Excellent communication skills.
  • Customer orientation and ability to adapt / respond to different types of characters.
  • Ability to multi-task, prioritize, and manage time effectively.
  • Proficient in Microsoft Outlook, Word and Excel.
  • Education :

  • At a minimum High School Diploma or equivalent.
  • Experience :

  • 2-3 years experience in a dynamic work environment.
