Mission

Reporting directly to the Management team of Pictet Canada, the candidate will be responsible for providing high-level, confidential administrative support to the President as well as to other members of the management team.

The right candidate will develop strong knowledge and build relations with all individuals in the company and grow within the position assuming increasing responsibilities commensurate with their capacity to learn.

Responsibilities

  • To serve as the primary point of contact between the President and the clients of the firm, colleagues from within Pictet and other external professional contacts;
  • Organize meetings and / or special events. Arrange for catering, locations, distribution of information with respect to the event and any gifts or handout for the event;
  • Attend these events together with the President or acting on his behalf;
  • Manage the President’s schedule and make the arrangements for his many international business trips;
  • Promptly screen and distribute incoming email, responding where appropriate;
  • Support the other members of the Global Markets Sales and Trading teams as required;
  • Support the CFO and the Finance team, particularly during Audit season;
  • Provide administrative support to the head of HR;
  • Provide administrative support to the Chief Operating Officer and Chief Compliance Officer.
  • Manage the Reception (Receptionist will report to you)
  • Profile

  • DEC in Business Administration or formal Secretarial Training required;
  • 5 to 10 years experience working as an executive assistant;
  • Experience working in a financial services firm would be an asset;
  • Experience working in an HR department would be an asset;
  • 1 to 2 years experience in corporate event planning;
  • Experience dealing with VIP clients;
  • Very strong IT skills : Master Microsoft Office Suite
  • The candidate will be required to prepare financial reports and dynamic presentations in PowerPoint and must have past experience with such tasks;
  • Bilingual, English and French, must be fluent, both written and spoken. Will need to translate documents for Management from one language to the other;
  • Canadian citizen or permanent resident.
  • As the successful applicant, you will be thorough and reliable and will stand out as a result of your keen sense of discretion and diplomacy.

    You will also be methodical in the approach to your work and be able to multi-task and manage priorities efficiently. You are tactful and intuitive about anticipating requests and are able to work well under pressure.

    You have excellent communication and interpersonal skills and are focused on client service. You will be looking to join a dynamic team where you will be able to put your skills to good use and develop them further while adding to your existing knowkedge.
