Job Summary

This position coordinates projects and activities related to the student complaint management system and compliance calendar.

  • The Student Services Specialist Senior will research and assist in analyzing and interpreting guidelines and regulations;
  • coordinate workflow and the implementation of policies and procedures; prepare reports, correspondence, presentations and program materials;
  • maintain records; provide training or orientation to other staff; and perform administrative office support to the departments encompassing Institutional Effectiveness.

    Essential Functions

  • 30% Coordinates the workflow for resolving student complaints by recording student complaint feedback into databases, delegating assignments and ensuring complaint resolution;
  • generating reports, presentations and training; research district administrative regulations and other regulatory policies

  • 30% Coordinates the workflow for the compliance calendar, delegating assignments and ensuring task completion; generating reports, presentations and training;
  • research district administrative regulations and other regulatory policies

    20% Prepares and maintains routine and non-routine correspondence, reports, documents, records and files, schedules, (including arranging travel), calendars and related meeting materials according to work specific work direction, established standards and procedures in support of Institutional Effectiveness departments

    10% Monitors and tracks expenses, monitors supplies inventory, requisitions and orders supplies

    10% Performs other related duties as assigned

    Minimum Qualifications

    Associate’s Degree from a regionally accredited institution in business administration, education or directly related field, and two years of experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.

    An equivalent combination of the conferred degree and directly related full-time work experience as described above, sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

    Desired Qualifications

    1. Two (2) or more years providing program and administrative support to senior management in higher education, including high proficiency with word, excel, powerpoint

    2. Experience working with a variety of databases, including high proficiency with SharePoint

    3. Two (2) or more years experience working with sensitive or confidential data and / or materials

    4. Two or more years experience making arrangements and booking travel, setting appointments and maintaining calendars in the workplace

    5. Experience working on or with a cross-functional team

    Special Working Conditions

    Possession of a valid State of Arizona Class D driver's license is required if driving a college vehice; must meet minimum standards regarding driving :

    Travel to campus during interview / selection process will be at candidate’s own expense

    May require prolonged periods of viewing a computer screen

    May be required to lift or carry up to 25 lbs
