Scope : Assist HR & Safety Team with all departmental projects and administrative functions. Maintain confidentiality and accuracy of appropriate documentation.
Maintain Open Door policy and follow up on employee concerns within 48 hours (C-48). Champion the principles of the Magna Employee Charter.
Support the organization to promote overall employee satisfaction and engagement (EOS, Fairness Committee, Safety Committee, etc) Ensures HR tools and practices are applied consistently across the Division.
Have a daily presence on the shop floor and provide flexible coverage across three shifts as required Filing; keeping filing system up to date, including the creation of new employee files, terminated employee files, recruitment files and the appropriate discard of outdated / obsolete files.
Maintain training program including keeping training binder up to date, issue training memos, assist with booking, follow up of requisitions and training requests, maintain training tracking matrix, issue and file training certificates.
Support training needs assessments and training plan coordination and execution. Maintain training records and evaluate effectiveness of training Coordinate with department managers on cross functional training activities.
Compile training data and prepare reports as required Maintain performance review-tracking system and on a monthly basis forward to each production supervisor a list of reviews to be completed.
All administrative functions related to the HR department (including Health, Safety and Environmental) Prepare letters, memos and other documents as needed.
Assist in preparation of presentation material for regular monthly employee meetings and HR meetings Prepare agendas and meeting minutes for JHSC, First Aid, Ergo, Fairness Committee, Employee Meetings, HR Dept Meetings etc.
Maintain communication boards. Assist in delivering orientation to new employees as needed eg. explaining company policies and signing forms.
Assist in the recruitment and selection process (create postings, pre-screen candidates, administer testing, coordinate and participate in interviews, prepare regret letters, perform reference checks etc.
Assist with event planning for social events (company BBQs, Picnic, Luncheons etc.) and administration of employee promotional events.
Actively and positively support the continued practice of Common Values behaviours and the Employee Charter. Ensure fair and equitable treatment of all employees.
Initiate and embraced company change Assist with the administration of temporary employees ensuring proper documentation supports request prior to coordinating.
Forward hours to temporary agency(s) in timely manner to ensure accurate payroll. Responsible for administratively updating Human Resources Forms.
Initiate employee information and pay change forms for employees as required i.e. pay review schedule, employee change of records, change of address, etc.
Assist with preparation for all HR and HSE Audits Ensure compliance with IATF16949, ISO14001 and ISO 18001by adhering to work instructions and maintaining accurate records.
Organize and maintain all HR and HSE files Prepare, maintain and update employee databases (i.e. PeopleSoft, training, employee lists, etc.
and various related reports Prepare work instructions as needed Provide reception relief as required Maintain safety shoe and glasses program, update database and issue forms as required.
Comply and participate with suggestions and Continuous Improvement program at UMG. Observe standards for safe working conditions as outlined in the Occupational Health & Safety Act as well as rules and regulations outlined in the employee handbook.
Comply and participate in monthly Health & Safety Quiz. Keep work areas clean and tidy. Maintain confidentiality and accuracy of appropriate documentation throughout employment history for all employees.
Update and maintain parking log book.
