We are looking for an Executive Assistant & Sales Operations Support to join our sales organization. This role will support, enable, and drive our sales teams to sell better, faster, and more efficiently.
The ideal candidate will help support the optimization of our sales team. The Executive Assistant & Sales Operations Support will help support our sales teams in the sales process to increase sales productivity, revenues, and profits.
With that support, sales people can continue selling, while sales operations people make them as effective as possible through processes like data analysis, lead management, hiring and training, process optimization, communication and reporting, and increasingly, sales and revenue strategy (not only tactics).
addition to the sales operations role this incumbent will also be supporting the VP of Sales; to assist them in running the organization smoothly and to be as efficient as possible.
The successful candidate will also be extremely organized with outstanding attention to detail, time management and communication skills.
addition, he or she will have solid overall business acumen and approach every task and challenge with energy and tenacity.
Sales Operations Support
Provide strategic insight needed by a sales team to achieve sustainable growth
Support sales team financial analyses, reporting and forecasting
Responsible for reporting on sales teams performance metrics
Overall responsibility for monitoring and managing manufacturer authorizations and related certifications, including : staying up to date on program requirements, working with Microserve team members to assign certifications internally, booking appropriate training and exams, and making sure requirements are met within timelines
Responsible for tracking sales teams training
Responsible for sales order management escalations
Responsible for coordinating new sales teams members onboarding and training
Reporting on specific client account sales activities
Support VP of Sales in preparing quarterly business reviews
Responsible for monitoring low margin deals and RMA (return merchandise authorization)
Communicating news and wins to sales team
Support reporting on Sales forecasting for goal setting, using past data and indicators
Managing technical tools and platforms, including CRMs (customer relationship management platforms such as Connect Wise), often in collaboration with IT
Ability to work with internal and external reporting data sources to assist the sales team to summarize and communicate the prior months sales performance and subsequently establish the upcoming months priorities and targets
Assist with competitive analysis to ensure we outmaneuver and stay ahead of competition
Prepare pipeline reports and submit to management on schedule..
Review the inquiry documents for proposal generation
Ensure timely and accurate issuance of proposals, work orders, and agreements.
Assist with completion and editing of necessary reports and documents.
Assist staff with a variety of administrative duties.
Executive Assistant to VP of Sales
Schedule and manage meetings and other calendar events, including sending and accepting electronic invitations, as well as creating and distributing relevant materials in advance.
Participate in team, management and executive meetings, take and distribute minutes and action items, and follow up on their completion.
Assist in drafting and sending communications and correspondence.
Create, manage and file monthly expenses.
Assist with travel arrangements.
Complete research, draft associated reports, and complete special projects as requested.
Schedule and maintain / track employee vacation
Assist in preparation of presentations.
Participate in event planning as requested.
Assist with general office duties as requested.
Any other tasks as requested which will help the executives you support to be more effective and efficient.
Skills and Experience :
2+years’ experience in an office sales support / administrative role supporting sales team
Experience as an executive assistant considered an asset
Experience working in a fast-paced, rapidly growing environment with demonstrated abilities to manage change
Some knowledge of Salesforce.com or CRM System : objects, data quality, custom workflows, reporting, and dashboard tools.
Experience working both independently, as part of a team and in a matrix environment in which collaboration across all business functions is necessary
Proven organizational skills and time management abilities
Experience in putting together power point presentations
Excellent professional, personable written and oral communication
Proficient with basic computer hardware and software
Exceptional attention to detail.
Experience of Microsoft Office.
Excellent customer service skills. to simultaneous manage multitasks.
Strong organizational and time management skills.
