Agency : Havas Life Medicom Job Description Summary : The Account Executive’s role is to support the account handling team on your designated accounts by facilitating the team’s day-to-day work.

You will possess good oral and written communication skills, be an enthusiastic team player, share responsibility for managing and responding to client needs / requests (as appropriate) and demonstrate efficient organisation and timely implementation of tasks.

Your responsibilities will include ensuring all resources are available and that project progress is tracked and communicated to the team, taking a proactive approach to all aspects of daily work whilst ensuring excellence in service delivery.

  • Job Description : Project Management Develop project timelines, in conjunction with the Account Manager / Account Director and project team Arrange internal project kick-off and update meetings, and ensure the project team is briefed on the project’s requirements Arrange and manage internal and external meetings, coordinating requirements such as booking and preparing rooms in advance, technology requirements, organising refreshments, travel arrangements and setting-up and testing of equipment Ensure status reports are completed fully and accurately (either directly or indirectly) Set-up and maintain job bags and ensure actions are properly tracked Ensure the quality check system is followed and completed for all projects, at all stages, by all members of the team Attend client meetings / conferences;
  • produce minutes and / or contact reports within agreed timeframes Ensure all resources are made available in accordance with the project timeline e.

    g. booking of studio time, creative, proofing, recording equipment, etc. Source reference materials, mark up references including use of client review systems, e.

  • g. Zinc, Mercury, Veeva Vault Maintain project style sheets and central record resources / databases Financial management Keep direct cost trackers up-to-date and track costs against original budgets and regular WIP reports Source accurate and competitive supplier quotes where appropriate Commercial awareness and business development Become familiar with client products, therapy areas, portfolio and commercial strategy Carry out research using the internet and other identified sources to keep the team up-to-date with issues / events / changes in the external environment that could impact new and existing business opportunities Familiarise yourself with the healthcare and pharmaceutical industries Assist with the preparation of proposals and cost estimates where requested Source and supply accurate and timely information for pitches and additional business opportunities Seek out and be involved in new business development, by working with team members to identify and capitalise on business opportunities General Administration Ensure that files on the server are set-up and saved in the correct job folder, as well as ensuring old / superseded documents are archived appropriately Ensure all written communication is of the highest quality (use of good grammar;
  • spell-checked etc.) Ensure all agency procedures are adhered to e.g. use of appropriate templates, internal QC procedures, project files are filed accurately and version controlled Project filing, photocopying and archiving Maintain central record resources / databases Ad hoc duties Input into any ongoing agency projects, as and when required, providing support within the scope of the role and level of expertise Take ownership for seeking opportunities for self-development and actively participating in the performance appraisal system Monitor your own behaviour and impact on others, to ensure the continuous promotion of a collaborative and harmonious working environment Carry out any other duties as required within the scope of the skillset determined for the role Skills : Contract Type : Permanent Here at Havas across the group we pride ourselves on being committed to offering equal opportunities to all potential employees and have zero tolerance for discrimination.
