    Position Summary

    Reporting to the Chief Operating Officer and under the supervision of designated members of the Division of Neonatal-Perinatal Medicine and supporting the Division Head, the Administrative Assistant will provide high quality secretarial and administrative support to the Division, coordinate support staff duties and workflow, and actively anticipate and troubleshoot problems.

  • Responsibilities include, but are not limited to : maintaining the annual service and nightly call schedules for the neonatologists;
  • coordinating various schedules; scheduling meetings and taking minutes; organizing visitors to the Division; managing financial accounts / purchasing;
  • typing letters, reports; preparing grants; entering payroll; answering phones and opening mail; filing; photocopying; obtaining library search materials;
  • making travel arrangements; assisting in preparing articles for publication; preparing presentations; entering data and maintaining databases;
  • organizing conferences; other duties as assigned.

    Qualifications

  • Minimum High School Diploma or G.E.D. required.
  • Graduate from a recognized Secretarial or Office Administration Program required.
  • Minimum of two (2) years related administrative experience required, four (4) years preferred.
  • Experience in a related administrative role in a health care environment preferred.
  • A combination of equivalent education and experience may be considered.
  • Advanced knowledge of Microsoft Office and other computer programs / technology required (testing may be conducted on candidates).
  • Keyboarding skills minimum of 60 wpm required (testing may be conducted on candidates).
  • Working knowledge of accounting / bookkeeping required.
  • Excellent planning, organizational, prioritization and time management skills required.
  • Demonstrated ability to respectfully work with a variety of inter-professional team members required.
  • Experience taking and producing minutes; dicta typing using mini-cassette system required.
  • Demonstrated ability to work independently and meet workload demands required.
  • Demonstrated ability to work consultatively with all members of the Division required.
  • Experience organizing conferences, meetings, guest visits and teleconferences required.
  • Demonstrated resourcefulness and analytical skills with ability to use good judgement and make decisions required.
  • Demonstrated high regard for quality, attention to detail and the ability to work confidentially required.
  • Experience with physician call schedules preferred.
  • Excellent communication and interpersonal skills required.
  • Demonstrated knowledge of medical terminology required.
  • Experience in SAP, Meditech, Outlook, Reference Manager, Endnote and the Internet an asset.
  • Demonstrated experience using university and hospital libraries an asset.
  • Experience with Dalhousie and IWK financial systems an asset.
  • Experience with MSI billing practices an asset.
  • Experience with the SAP payroll system an asset.
  • Good working knowledge of various office equipment an asset.
  • Demonstrated commitment to Family Centred Care required.
  • Competencies in other languages an asset; French preferred.
