This role provides a wide range of day to day administrative services / support to the Managers, Team Leaders and Team Members of the Customer Support Management (CSM) team.

RESPONSIBILITIES :

  • Specific duties may include and are not limited to;
  • Actively support the team to achieve business objectives
  • Plan and organize travel activities for a large team
  • Organize and assemble customer documentation for Aftermarket products
  • Plan and proactively organize activities such as catering, facilities, on and off campus site meetings and managing schedules for Manager and Team leaders to promote effective time management
  • Monitor / maintain / analyze budget and spend as it relates to travel, employee expenses and office supplies
  • Interact positively with various levels within the Business Unit and with other Business Units
  • Act as a focal point for communications within and for the department
  • Train Team Members to be more self-sufficient with computers and software packages
  • Participate in various meetings as required by the Manager and Team Leader
  • Opening, distributing and sending incoming or outgoing mail, materials and information
  • Maintain secure and confidential information records i.e. department credit cards
  • Update Timecard and E-Absence systems to reflect Team Member absences
  • Draft and prepare letters, memos, reports, presentations
  • May participate in or lead continuous improvement activities
  • QUALIFICATIONS :

  • Post-secondary education (College diploma or University degree preferred) or 3-5 years of equivalent work experience
  • 2-3 years related administrative experience
  • Intermediate / advanced working knowledge of MS office applications i.e. Word, Excel, PowerPoint, Access
  • Solid communication skills, both verbal and written
  • Demonstrates strong problem solving skills and good judgment
  • Demonstrates both tact and ability to respect confidentiality
  • Ability to multi-task effectively
  • Strong attention to detail
  • Strong organizational skills and the ability to be flexible through changing priorities
  • Able to understand and use the Timecard system and MRP system (e.g. Baan)
  • Ability to work in a fast-paced environment
