The Office Coordinator reports directly to the Office Manager, Infrastructure in Calgary, and is responsible for all activities within the Delta reception area, as well as for providing office and administrative support to the Infrastructure, Buildings and Equipment Divisions.

As an Office Coordinator at Graham, you will be responsible for the following : Execution

  • Answer phones, screen and forward calls, take and relay messages.
  • Greet visitors at reception.
  • Process incoming and outgoing mail and couriers.
  • Manage the meeting room calendar.
  • Order supplies exercising financial awareness and accountability.
  • Move supplies and boxes within the office to the appropriate locations after a delivery.
  • Manage deliveries on an ad-hoc basis to keep the loading dock clear.
  • Move small office furniture pieces and equipment as requested.
  • Receive, organize and store office and bathroom supplies.
  • Tally, redistribute, order, and organize dish-stock for two office kitchens.
  • Liaise with managers to ensure that new hires have clear and ready office spaces.
  • Clear out departed employees’ office spaces in coordination with department manager.
  • Liaise with and instruct various office contractors onsite as needed (maintenance, repairs, moves)
  • Maintain office signage and floor plans.
  • Liaise with procurement as well as office vendors to receive orders.
  • Manage photocopier issues to resolution (troubleshooting issues, distributing supplies).
  • Manage janitorial issues to completion by coordinating landlord agent, cleaners, and plumbers as needed; attend to janitorial issues as a last resort if required.
  • Activate and deactivate fobs.
  • Attend to the requirements and needs of senior operations management.
  • Planning and Process

  • Assist in archiving of project documentation.
  • Asist with event planning and management.
  • Prepare meeting agendas, organize meetings, and produce minutes.
  • Manage travel arrangements and perform expense reconciliations.
  • Ensure documents are accurate and in line with Graham’s brand standards.
  • Financial Accountabilities

  • Collaborate with procurement to order supplies including corporate promotional materials.
  • Ensure meeting costs are in line with the direction of the team, be conscious of the pricing of meetings.
  • Ensure site orders are cost-effective and in line with Graham's environmental strategy.
  • Qualifications

  • Formal education in Business Administration or related field is preferred.
  • Strong customer service focus and pleasant courteous demeanor.
  • Professional and effective communication abilities and interpersonal skills.
  • 1-2 years of experience working in an administrative role.
  • Time-management skills and the ability to prioritize tasks.
  • Ability to work independently and without supervision.
  • Ability to lift up to 50 lbs.
  • Intermediate to advanced Excel and MS Office.
  • Excellent computer and typing skills.
  • Expertise with Skype and SAP is an asset.
