As a key member of the operations team you will work closely across teams to help create order, motivate and engage staff.

You will wear many hats as you organize the office, routines and our community of people. You will help foster our work hard and play hard culture and a healthy work-life balance.

The ideal candidate will have at least three years of experience in an administrative / office role in a fast-paced, rapid-

growth company. They will need a wide range of skills from customer service to basic technical troubleshooting here are some of the areas of ownership you will have :

  • Reception and Security. Involves greeting visitors and maintaining visitor sign-in processes including issuing temporary badges to employees, vendors, contractors, etc.
  • In addition, you will assist employees with special requests acting as an employee relations liaison to provide helpful and accurate information to employees and visitors alike.

  • Employee Relations. Working closely with recruiting and HR teams to support recruiting tasks, scheduling interviews, and facilitating and overseeing key hiring, on-
  • boarding and off-boarding processes. Working closely with the operations and HR teams to support overseeing employee attendance, time off, vacation tracking and payroll management.

  • Inspire Operations. Additional requirements may include providing direct administrative support to the account and operations team through industry and business research, reporting, analysis and participation in planning and team meetings, preparation of documents, meeting presentations and additional administrative support.
  • Meeting Coordination and Facilitation. As the main point of contact for all internal and external meetings in the office, you will ensure the offices are well maintained and presentable at all times.
  • You will support meetings are required, preparing and managing agendas, notes and documents. You will prepare welcome signs for visitors, coordinate event catering, and provide administrative support to local senior management as well as executive management who visit the office.

  • Employee Programs. Takes a lead role on the Employee Programs team, planning and coordinating office social events. Responsibilities may include booking venues and catering, scheduling transportation, setting up party décor and coordinating group activities both on- and off-site.
  • Administrative and Supply Ordering. Responsibilities include maintaining the common areas, ordering and stocking all kitchen, copy room and cleaning supplies and supporting departments with ordering supplies or equipment, if / when applicable.
  • Handling internal service requests for maintenance and other general office repairs which may involve oversight of furniture moves, installation of keyboard trays, whiteboards, hanging of pictures, etc.

    and acting as the Coordinator for the Health and Safety Committee in the local office.

  • Implementation of Inspire Programs. In support of Inspire's growth, the Inspire team implements new programs from time-
  • to-time which may include safety and security procedures and enhanced amenities. With guidance from Inspire management you play a key role in implementing new programs in the offices.

  • Mail Systems. Includes handling all incoming / outgoing mail including sorting and delivery to employees or forwarding to staff, as appropriate, as well as preparing FedEx shipments as needed.
  • Vendor Relations. Knowledge of vendor relationship management is essential for the oversight of office-standard vendors such as cleaning, office supplies, building maintenance.
  • You will act as the liaison with property management on all building / site issues.

    Qualifications :

  • Must have a minimum of 3 years experience in an administrative / office role in a fast-paced, rapid-growth company
  • Must have excellent organizational skills and a proven ability to communicate clearly and effectively, both verbally and in written form, with excellent phone skills
  • Must be proficient with MS Office Outlook, MS Word, MS Excel and MS PowerPoint, with competence in Google Docs, Google Sheets
  • Must be able to take on new tasks and learn new technology quickly
  • Willingness and ability to adapt to rapid business and organizational changes
  • Must be available for full-time hours
