The Role

We are currently searching for an Office Services & Support Specialist reporting to the Manager, Fleet & Transportation .

This is a Full-Time Permanent opportunity .

Location : This position is on-site at our Corporate Office located in Bolton, ON.

What You’ll Be Doing

This role is responsible for handling the day-to-day receipt of all deliveries directed to Corporate Office and ensuring mail and print request are sent to various locations.

This role will support all departments with courier, office supplies, document storage, janitorial supplies, and coffee supplies categories.

This role will also provide support to various Finance departments where needed.

  • Managing all incoming mail by opening, scanning, and emailing to respective contacts in each department
  • Handling weekly Retail store mailing to 430 stores, Distribution Centers, DS, & Departments at H / O
  • Handling month-end Retail packages; sorting and distributing to respective departments
  • Supporting Operations by sending emergency one-off mailings to sites (signage, supplies, etc.)
  • Supporting Health & Safety, Related Products and Marketing with asset distributions to Operations
  • Responsible for gift card distribution
  • Supporting Transportation with fleet recall notices from manufacturers
  • Supporting Procurement with PO and GR set up to help facilitate payment to vendors
  • Supporting Accounts Payable in folding cheques and sending them out
  • Supporting Retail and Logistics with monthly tracking of brewery vouchers from stores
  • Replacing the toner cartridges in the facsimile machines and photocopiers situated around the office
  • Supervise the installation and or repair of office furniture, coffee service personnel, and plant maintenance staff
  • Creating Purolator address labels for all store courier and Marketing promotions
  • Managing special printing requests from various Corporate Departments and Operations (Logistics, Regional Offices, District Offices and Stores requests)
  • Liaise with external suppliers and couriers, in the ordering and procuring of office supplies, lunchroom supplies and janitorial supplies, storage supplies for documents
  • Managing invoices received from these suppliers in a timely fashion
  • Supporting Related Products with receipts & distribution of Related Products for our sites
  • Performing other related duties and projects as assigned
  • Who You Are - Your Knowledge, Skills & Experience

  • High school diploma
  • Post secondary preferred, demonstrating the desire to further their education and career
  • Previous experience in a mail room is preferred
  • Prior knowledge how to work the high-speed duplicator, postage meter and other office equipment are an asset
  • Familiar with Health & Safety practices regarding heavy lifting, proper disposal of printer cartridges, to name a few
  • Work productively within a fast-paced environment, is efficient, and completes tasks in a timely manner
  • Strong computer and technical skills : quick learner and readily adaptable to learn and work with various types of technology (current and new) such as printers, label machines, envelope machines, cheques machines, Purolator system, etc.
  • Competent in Microsoft Office with strong Excel Skills
  • Strong organizational skills
  • Strong organizational and time management skills, ability to prioritize tasks, track / order supplies
  • Possesses SAP skills in order to create Purchase Requisitions (PR) and Good Receipts (GR), to run Transaction (T) codes within SAP within their approval level, etc.
  • Good interpersonal skills with internal clients / employees and external suppliers
  • Ability to work independently
  • Team player with ability to work with various Corporate departments and Operations (Retail, DS, Logistics)
