About the Role
The Office Manager & Executive Assistant is responsible for providing support to the General Manager of Reckitt Canada, as well as managing office facilities, financial and HR operations support, Health & Safety, the annual business calendar, and meeting, travel & event planning.
The scope of role includes but is not limited to the areas outlined below and the incumbent would be expected to support and drive office requirements as needed.
The role reports to the General Manager / HR Director.
What You'll Be Doing
Administrative Support to the GM
Handles the following administrative needs of the GM : calendar / meeting coordination, travel planning and expenses, correspondence, office administration and visitors.
Responsible for files management which includes ensuring that company and employee sensitive information are handled with utmost discretion, confidentiality and professionalism.
Responsible for special releasing announcements on behalf of the GM.
Assists with travel planning for members of the Management Team
Office, Operations and Events Management.
Coordinates the administrative planning of meetings such as Town Hall, Leadership Team meetings and Senior Leadership Group meetings
Leads health & safety program to ensure compliance with corporate and legislative requirements
Main liaison with property manager and the security companies
Office repairs, upgrades, including but not limited to workstation moves and renovations.
Purchasing and Pcard management
End to end vendor management, including invoicing and Purchase Requisitions
Ongoing maintenance of Organizational Charts
Assistance with onboarding of new employees including but not limited to workspace set-up, Induction Binder creation, collection of benefits enrollment
Incoming and outgoing mail and courier management, including consumer relations liaison with Hygiene and Nutrition contacts.
Mail room management including ordering supplies
Managing admin equipment ie Xerox machine, fax etc
Managing Pantry and Cafeteria vendors, inventory and upkeep
