Our client, a well established development company located downtown, is looking for an enthusiastic and driven Executive Assistant to join their dynamic team.

The Role :

In this role, the successful candidate will be responsible for providing high- level administrative support to the President as well as the development team.

This role requires a strong sense of independence, professionalism and positive attitude.

Who you are!

The ideal candidate has a minimum of 5 years’ experience working with C-Level professionals. Excellent communication and problem solving abilities including sound judgment and the ability to make decisions without supervision are vital.

You also possess the ability to time manage and prioritize responsibilities, and be adaptable to ever changing needs.

Responsibilities :

  • Acting as gatekeeper to the President screening all incoming calls, mail and internal inbox
  • Advising the President on all ongoing issues, providing regular updates as needed
  • Managing the President’s calendar; scheduling and confirming appointments, meetings, lunches and functions
  • Travel arrangements
  • Tracking and processing expenses, managing the bookkeeping for projects
  • Drafting and circulation of meeting minutes
  • Administrative support including filing, drafting letters, merges, labels, mail outs and various reports
  • Maintaining the day to day running of the office
  • Various errands as required by the President
  • May be required to attend meetings and open houses
  • Must haves :

  • 5 year’s experience working with senior management teams
  • Strong time management and organization skills with attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Discretion, diplomacy and maturity are essential
  • Flexibility and adaptability with the ability to multi-task and prioritize
  • Advanced skills in Outlook, Word and Excel
  • Valid Class-55 Driver’s License
