Job Description

Our Winnipeg office has an exciting opportunity for a Proposal Coordinator. As a team member in our Proposal Centre of Excellence, you will provide custom proposal preparation support to all of Online’s business units throughout Canada and the US.

This position is an important support function of our Business Development & Marketing Administration Team, requiring strong organization, time management, and word processing and formatting skills.

You will work collaboratively with Sales managers, Bid teams, Marketing, and Administration in ensuring that proposals are submitted on time, and of an exceptional quality that is consistent with Online’s brand standards and messaging.

You will take pride in providing superior support to your internal customers.

Critical Competencies for Success : Proposal development experience, Microsoft Office skills, attention to detail, strong communication skills, collaboration skills, initiative.

What you'll do

  • Work closely and collaboratively with a team of administrative professionals to support overarching corporate strategies, including proposal support and special projects.
  • Research and identify posted opportunities in MERX, Biddingo, and other similar tender sites.
  • Analyze and interpret RFx requirements.
  • Coordinate the proposal response process, from receipt of RFx to the printing and assembly of the final product.
  • Assist in defining and managing the proposal response plan and schedule.
  • Collaborate with both local and remote proposal teams (consisting of sales managers, technical leads / architects, and subject matter experts), and effectively follow up with the contributors to ensure submission meets deadline.
  • Edit, proofread, and format the response to ensure high quality and alignment to Online’s brand standards and messaging.
  • Write and / or provide reusable content.
  • Ensure proper storage of all response materials.
  • Maintain an up-to-date proposal library of reusable content.
  • Participate in debrief meetings to identify lessons learned and improvements.
  • Track and report key metrics related to efficiency and effectiveness of proposal efforts (win / loss, lessons learned, etc.).
  • Develop and promote best practices related to the proposal response process.
  • Additional projects and duties as assigned.
  • What we'd like

  • A strong understanding of the proposal process and ability to work on multiple projects with competing deadlines simultaneously is a must.
  • 2+ years of experience preparing and managing proposals.
  • Knowledge of the proposal development process and familiarity with RFx documents.
  • Background in information technology and consulting services a strong asset.
  • Passion for sales and marketing.
  • Ability to provide superior service to internal customers.
  • Advanced knowledge and experience with MS Office products, particularly Word, Excel, and PowerPoint.
  • Experience with Adobe InDesign an asset.
  • Excellent writing, editing, and proofreading skills, as well as attention to detail.
  • Motivated self-starter with the ability to prioritize tasks, juggle multiple projects simultaneously, work under pressure, and meet deadlines.
  • Flexibility to work outside regular business hours at times in order to achieve a deadline.
