Summary : Reporting to the Manager, Bid Team, the Proposal Coordinator is responsible for monitoring and assisting in the development and submission of Horizon North’s Industrial proposals, design and estimating requests.

This position will communicate and work with various colleagues in the Industrial units and stakeholders, including Design, Sales, Hospitality Operations or Estimating, coordinating and communicating timelines, deliverables and status reports.

Duties and Responsibilities

The Proposal Coordinator performs some or all of the following duties :

Overall responsibility for collaborating with and collecting information to assemble the final proposal package

Act as internal contact for Horizon North Industrial proposal requests

Assign and track proposal numbers for each proposal request by maintaining files and the Proposal Log

Coordinate internally with stakeholders to :

Download and distribute proposal information

Identify and maintain stakeholder register for each proposal

Identify proposal priorities and deliverables

Communicate schedule and milestones

Distribute clarifications and requests for information

Follow-up clarifications with appropriate Horizon North HNL stakeholders and client

Track, maintain and report on proposal status

Submittal of proposal submissions

Update Proposal Log and provide status reports

Collect and distribute completed proposal information, designs and pricing to the proposal stakeholders; distribute updates and addendums as required

Manage & update project information in SharePoint

May be required to develop the Proposal Log and / or other CRM tools

Assist as necessary to complete RFI’s, EOI’s and pre-qualifications relating to various proposals; includes maintaining a database of information and previous references

Perform other related duties incidental to the work described herein


Diploma or degree from an accredited university or college in Business Administration or Project Management, or equivalent work experience

1-3 years’ experience in a similar role, preferably working with proposals and contracts

Project Management experience is considered an asset

Understanding of the proposal process

Proven ability to demonstrate initiative to be proactive and self-motivated

Working Conditions

  • Office environment with a flexible work schedule, potentially requiring work on evenings and weekends
