About our Client

Our client is a renowned investment company located in downtown Vancouver. They are looking for a new Executive / Personal Assistant to join their team.

In this role, you’ll be responsible for a variety of tasks to assist and plan for the Managing Director’s busy schedule.

In addition, the majority of your day will be focused on providing personal assistance to key company staff. To be successful in this role you must have immaculate time management skills and be comfortable juggling several tasks at once and executing each with confidence.

This position is ideal for an experienced Executive / Personal Assistant who comes from a professional services background with exceptional interpersonal skills.

Responsibilities

  • Handle phone call and email requests and queries appropriately and redirect as necessary
  • Organize and schedule appointments for senior staff and provide reminders
  • Assist in the planning of the professional and personal schedule of key company staff
  • Coordinate appropriate materials in advance of meetings, including agendas and briefing notes
  • Make travel arrangements for the senior staff often across multiple time zones
  • Plan and organize meetings with multiple invitees and take detailed minutes for action and follow-up
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled monthly reports and project summaries
  • Maintain contact lists
  • Submit and reconcile expense reports
  • Qualifications

  • At least 10 years’ experience as an Executive / Personal Assistant
  • Professional Services background required
  • Post-secondary qualification preferred
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment such as printers and fax machines
  • Proficiency in MS Office (MS Outlook, MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Strong organizational skills with the ability to multi-task
  • Strong attention to detail
  • Strong communication skills written and verbal
  • Strong interpersonal skills
  • Calm and patient demeanour
